Administrative Program Assistant I (APA I) - The position supports the overall efficiency of the department by performing an array of front office and program-related tasks, including: Serve as the initial point of contact for visitors and callers, ensure a welcoming and professional environment; Provide administrative support to the Benefit Programs and Family Services Units, as well as the Director; Register applications and assign cases; Schedule appointments; Record and maintain daily data to track departmental activities; Manage confidential and highly sensitive information; Research and relay program-related material; Respond to client inquiries; Deliver facts about department programs, services, and policies, and assist with the interpretation of state documentation; Upload client verification documents into the case management system: Review mail and correspondences for distribution; Other duties as assigned.

Minimum Qualifications (APA I) - The candidate must possess the following: a high school diploma, comprehensive knowledge of office and administrative practices, along with expertise in Microsoft Office Suite and standard office equipment; Exceptional verbal and written communication skills with the ability to effectively interact with diverse populations; Ability to read, understand, and analyze written materials and oral instructions, exercise sound judgement, and uphold discretion; Strong organizational skills, including the ability to manage multiple tasks; Emotional intelligence and interpersonal skills to foster relationships with staff, community partners, and vendors; Familiarity with multi-line phone systems and basic IT troubleshooting; and Proficiency in basic arithmetic and the ability to interpret, apply, and comply with policies, procedures, and regulations.

Administrative Program Assistant II (APA II) -Represents the full-performance level in the Administrative Unit. In addition to the duties outlined under the APA I position, the APA II works closely with the Administrative Manager to assume specialized tasks that entail: Security administrator, enabling/disabling employee access to state applications and resetting passwords; Accurately generate bi-weekly City payroll reports; Process monthly credit card expenditures; Utilize business vendor accounts to procure office resources; Support the Administrative Manager with other objectives as needed.

Minimum Qualifications (APA II) - The qualifications for this position align with those outlined for the APA I role, with additional emphasis on: Leadership and advanced administrative functions; Ability to learn and execute financial operations, and knowledge of procurement processes to secure office resources.

The Administrative Program Assistant I and II roles involve occasional work in the community that may occur outside of standard business hours.

Limited telework options are considered upon the successful completion of the probationary period and based on operational needs.

Preferred Qualifications -High school diploma with supplemental clerical oradministrative experience in a local Department of Social Services or related field or any equivalent combination of training and experience that provides the necessary knowledge, skills, and abilities.

Background using State applications (VaCMS, Spider, Eppic) and any equivalent combination of training and experience that provides the necessary knowledge, skills, and abilities.

Bilingual - English/Spanish reading/speaking skills.

Special Requirements -Applicants may be subject to a Criminal History Background search, Central Registry search, DMV/driving record check, and/or pre-employment drug screen. The investigation may include a fingerprint check (State Police, FBI), local agency screening, employment verification and references, proof of educational history (relevant to employment), credit assessment (relevant to employment), and other inquiries requested by the hiring authority.

All offers of employment are contingent upon satisfactory results from the required investigations.

Valid Commonwealth of Virginia driver's license is required, in addition to a driving record that meets agency standards.

Must be willing to participate in community shelter operations during disasters and/or emergencies. After hours, on-call coverage on a rotating basis may be required.

The core hours for this position are Monday through Friday from 8:00am - 4:00pm with 1-hour for lunch.
