Job Summary

Digital Cloak is currently seeking a Executive Administrative Assistant to provide support to a Government client. Our team is integrated into the customer’s day-to-day operations and provides assistance across an entire portfolio of business activities including tactical, strategic and financial projects. The Analyst will be expected to quickly learn and understand the customer’s “as-is” business operations and assist team members with day-to-day operations.  The analyst will be provided the opportunity to a) execute a wide variety of well-defined tasks, b) demonstrate analytical skills on less well-defined tasks, c) identify business process improvements and work with team leadership to implement those recommendations.  Our customer’s operating environment is a complex array of recurring and ad hoc activities.

Essential Functions

  • Provide program operations and administrative support to the government lead and the program team to ensure cohesive operations support.
  • Assist with office operations and functions such as invoicing, records management administration, verification and validation of financial records, and deliverable tracking.
  • Coordinate with other government stakeholders to see essential business functions through to completion (e.g., public release requests, contract close outs, IT account creations, assembling procurement documentation).
  • Provide content development and administrative support to customer-led presentations to stakeholders.
  • Contribute content to project documents such as reports, meeting agendas, white papers, and presentations.
  • Assist team members in the evaluation of requirements statements based on an established set of criteria and document observations for customer review. 
  • Attend customer meetings and participate in post-meeting discussions to determine appropriate next steps. 
  • Document meeting discussion points and track action items.
  • Review and maintain written and computer files; conduct data entry.
  • Assist in the coordination of administrative functions, including budget, meetings, and clerical duties.
  • Research and collect information on topics as directed by the Program Management Office.
  • Help to implement new programs, procedures, methods, and systems.
  • Be responsible for preparation of documents and reports in support of Government clients.
  • Maintain meeting minutes.
  • Coordinate and schedule meetings and conferences.
  • Coordinate operations, including tracking Government furnished equipment and maintaining property inventory.

Required Knowledge, Skills, Abilities

  • Ability to plan, organize, and structure work

  • Good interpersonal skills
  • 3+ years of relevant experience as a business analyst, consulting analyst or similar role

Preferred Knowledge, Skills, Abilities

  • Ability to create informational PowerPoint briefings
  • Demonstrated skill with organizing, managing, and keeping an office running in a virtual environment.

Required Education, Certifications/ Licenses, Related Experience

  • 4-year BA/BS degree from an accredited institution

  • 4-year BA/BS degree in a related field preferred
  • Experience managing multiple tasks at once requiring adjustment of schedules based on ad hoc customer requests
  • Experience directly communicating with client/customers one-on-one
  • Experience analyzing requirements

Physical Job Requirements

  • This position requires the ability to remain in a stationary position (standing and/or seated) more than half the time.
  • This position requires the ability to spend more than half the time viewing computer monitors.

Clearance Requirements

  • US Citizenship is required.
  • Must be able to obtain and maintain favorable suitability/fitness adjudication from federal customer.
  • Must be able to obtain and maintain a Security Clearance.
  • Must be able to pass a standard background check.

Primary Work Location

  • This position is based in Washington, DC.
  • Until further notice, this position will remain in a remote work posture with the potential for a minimal number of meetings on-site at the customer's location.  Ability to attend meetings in-person in the Washington, DC office on these occasions is a position requirement.

Travel Requirements

  • This position has travel requirements up to 5% of the time.
