JOB OVERVIEW 

The Philanthropic Services team provides operational and client support across day-to-day operations as well as special and rapid response services to a variety of Foundation clients. The Philanthropic Services Coordinator, Emerging Actions is a new and critical role that will be responsible for the administration and management of the Foundation’s rapid response efforts, specialized clients, new initiatives, and c4 support. This position will require excellent customer services skills and must maintain a working understanding of the Foundation’s operational procedures and serve as a vital point of communication with fund managers, individual donors, and grantees.  

The Coordinator will also provide backup and coverage support for other roles within the Philanthropic Services team as needed. A successful candidate will be a proactive, highly organized, and self-disciplined who is able to effectively work with agility, curiosity, and focus within a growing philanthropic financial enterprise. 

CORE RESPONSIBILITIES 

Client Services Support Inquiry  

  • Respond to client service inquiries on contributions, contracts, and fund administration. 
  • Pro-actively contact clients and donors to resolve issues related to contributions, contracts, and fund administration.  

Rapid Response and Specialized Fund Management  

  • Provide administrative and client support to rapid response funds including: 
  • Conduct administrative follow-up to obtain completed and submitted new fund enrollment forms, including follow-up for forms with incomplete information. 
  • Enter completed enrollment form information into the Foundation’s database. 
  • Generate and send Fund Summary and Orientation documents to all new clients. 
  • Provide guidance to new clients on DonorView (client database portal), as needed. 
  • Lead efforts, in conjunction with internal teams, to support integration and administration of Comprehensive Fiscal Sponsorship funds. 
  • Provide transactional and compliance support on high volume and complex fund requests.   

Emerging Services Support 

  • Lead the development and execution of new philanthropic services offerings, including processes, procedures, and documentation in conjunction with the Director of Philanthropic Services 
  • In conjunction with Operations and Compliance, ensure the successful management of c4 initiatives including:  
  • All aspects of New Fund enrollment, including entering client information in Foundation’s database, sharing orientation documents and onboarding new clients to Foundation processes.  
  • Day-to-Day fund maintenance, including entering contributions and maintaining fund data. 
  • Managing c4 client services including grant distributions, contracts, and fund administration.   
  • Respond to questions about c4 Foundation services via email and/or phone. 
  • Support c4 administrative requests for data, form requests, and administrative audit work. 

Supportive and Team Responsibilities

  • Cross train to provide team wide support and collaboration across all Philanthropic Services disciplines, including:

MINIMUM REQUIREMENTS 

  • 3+ years of relevant experience 
  • Experience working in a c4 nonprofit organization [with a preference for combined c3 and c4 experience] 
  • Familiarity with legal parameters between 501(c)(3) and 501(c)(4) contexts 
  • Experience working in a global non-profit is preferred 
  • Ability to navigate and manage systems and processes independently, efficiently, and effectively 
  • Ability to employ critical thinking processes, such as examining multiple perspectives and anticipating next steps to arrive at innovative and proactive solutions 
  • Strong skills in the following: 
  • Communications: written, verbal, and listening; managing expectations; understanding who are and the needs of key stakeholders; curious, asks questions early; anticipates and prepares next steps and outcomes 
  • Technology: Microsoft Suite (Word, Excel, PowerPoint), CRM, and Financial Software experience and the ability to navigate and manage system and processes independently, efficiently, and effectively.  
  • Client Services: responsive, solutions-oriented, good judgment, and decision-making skills with the ability to escalate concerns/challenges appropriately and in a timely manner 
  • Ability to see a project through start to finish
