Position Summary

The Administrative Assistant-Electric Operations is responsible for providing administrative and clerical support to the Division Manager, staff and division activities.

Essential Duties & Responsibilities

CUSTOMER WORK ORDER MANAGEMENT

- Responsible for flow of meter and work orders to include: review of service request, determination of action needed, creation and distribution of work order assignments and monitor of process

- Communicate with and assist with scheduling of firms, engineers, architects, consultants, developers and property and business owners;

- Coordinate scheduling and maintain records associated with city wide banner program

ADMINISTRATIVE FUNCTIONS

- Responsible for effective customer service to include use of independent judgment in making decisions for handling customer issues or inquiries; routing calls & messages; follow up as required

- Responsible for filing and retention of division records; serves as Records Management Liaison

- Creates correspondence, forms, and reports

- Maintains calendar schedule of meetings and appointments for division manager and staff

- Schedules training and related travel arrangements

- Responsible for payroll to include tracking, processing and monitoring time entries; review and monitor leave requests

- Record minutes at safety and staff meetings

- Perform special projects and duties as assigned

PURCHASING/ACCOUNTING FUNCTIONS

- Create and track purchase requisitions

- Purchase and maintain inventory of office supplies and materials

- Verify & reconcile invoices and purchase orders against budget and work orders; reconcile & code for payment

- Verify and process check requests

- Track and maintain financial data related to capital projects; prepare related financial summaries

GENERAL RESPONSIBILITIES

- Maintain regular attendance; leave schedule should be managed so as to not interfere with ability to accomplish tasks, including special projects and assignments with deadlines

- Adhere to NBU safety guidelines and practices at all times and in all situations

- Maintain a clean and safe work area, office, field site and vehicle as applicable

- Develop & maintain effective customer service skills for communications with co-workers, customers and the public in general

- Maintain strict confidentiality of business, employee and customer information in written and oral communications and safeguard sensitive documents

- Adhere to NBU policies and procedures

- Exemplifies NBU Core Values of Integrity, Stewardship, Team, Culture and Safety

- Participate in and support initiatives to reach annual NBU Performance Measures

Formal Education and Work Experience Requirements

Degree/Diploma Obtained: High School Diploma/GED

Work Experience Time Frame: One Year or More Field of Study: General Studies
