Description

The Office Administrator maintains the day-to-day operations for the Orlando office and ensures a smooth and efficient working environment for all team members across multiple offices. Your responsibilities will encompass corporate and field office management and maintenance, serve as the receptionist, office supplies procurement, inventory, budget management, and coordinating internal office events.

Your primary role is to ensure the office is running smoothly for all our team members and guests. This includes greeting visitors and vendors; organizing and maintaining office and kitchen supplies; organizing and executing internal events while staying within the operational office budget.

This role requires 5 days/week working in the office.

Key Responsibilities & Objectives

Receptionist:

  • Serve as the primary point of contact in the reception area for both employees and visitors.
  • Manage inquiries, requests, and communications in a professional and timely manner.
  • Sort and distribute incoming mail, packages, and deliveries and coordinate outgoing mail and shipments as necessary
  • Maintaining the reception area to be clean and welcoming to visitors.
  • Assist with meeting room scheduling and general requests.
    • Provide direct administrative support as needed, including expense reconciliation, invoice processing, scheduling appointments, meetings, and events; booking travel and miscellaneous errands as needed.
Corporate and Field Office Coordination:
  • Oversee the daily operations of both the Orlando corporate and multiple field offices, ensuring smooth workflow and adherence to company policies and procedures.
  • Coordinate with field offices to address specific needs and maintain consistency across all locations.
  • Serve as point of contact for office suppliers and service providers.
    • Procure office supplies and services at competitive prices to optimize operational costs.
      • Monitor and manage expenses to stay within the allocated budget and identify opportunities for cost savings.
  • Maintain organization and cleanliness of supply closet and cabinet.
Office Maintenance:
  • Ensure the Orlando office space is well-maintained, organized, and always presentable.
  • Manage and monitor supply levels of snacks, coffee stations, paper products, cleaning supplies, order supplies as needed staying within the operations budget. Gaining management approval for monthly spend.
  • Point of contact for building management for Orlando and assigned field offices.
  • Daily reset of company conference rooms
Office Supply Procurement:
  • Manage the procurement process for office supplies, ensuring adequate stock levels are maintained for all departments.
  • Monitor spending and stay within budget.
Coordinating Internal and Field Office Events:
  • Plan and coordinate logistics for local events. Manage budgets, and ensure events are executed smoothly including quarterly happy hours, monthly Namaste Lunches, special events, Friday weekly happy hour, and the annual holiday parties/events.
  • Participates and supports as needed in special department projects and events including supporting Culture committee events.
HR Support
  • Coordinates travel as needed for team members and guests (interview candidates & new hires) utilizing corporate credit card.
  • Monthly reconciliation of the usage of the department credit card ensuring charges are applied to the correct departments.
  • Ordering and set up of office and department lunches, team events, Town Halls
  • Assist with Swag approvals and ordering.
  • Management of the 6th floor event space, ensuring room is clean, set up, has the correct equipment, and client needs are met including coffee set up and meals ordered.
  • Other duties as assigned.
Requirements

Preferred Qualifications
  • Proven experience as an Office Administrator, Office Assistant, or similar role.
  • High Confidentiality with sensitive material and communication
  • Very strong organizational and time management skills required
  • Ability to juggle and prioritize multiple projects simultaneously with high attention to detail in a fast-paced environment with deadlines
  • Demonstrate the ability to work independently and as part of a team
  • Coachable and able to take direction and feedback well
  • Proactive and self-motivated with a positive attitude
  • Strong oral and written communication skills
  • Flexibility and adaptability to changing workloads and priorities
