REQUIREMENTS:

  • 3 year's management or supervisory experience required
  • Proficient use of computers including programs such as Outlook, Microsoft Word and Excel, and general Internet use is required
  • Experience working with seniors is preferred

WHO ARE WE LOOKING FOR?

The Administrative Assistant plays an instrumental role in ensuring that all residents, family members, and guests receive the excellent customer service and positive interactions that are standard for the Rehabilitation Center at Hartsfield Village. They maintain and run the Front Reception Desk by greeting all guests and coordinating various activities for the residents, assisting where needed.

The Administrative Assistant has a clear goal of providing exceptional interactions for each person they come in contact with throughout the day. They have a deep passion for working with the senior population. They are vital to maintaining our commitment and responsibility to provide high quality care and an enjoyable day to day life to the residents of Hartsfield Village.

Must be understanding, empathetic, supportive, and helpful Looking for someone who can maintain a professional and honest demeanor at all times and proudly represent the Community's concept of Senior Living.

WHAT YOU WILL DO:
  • Greet and assist guests, residents and employees in an atmosphere of hospitality
  • Record and types minutes as needed for meetings
  • Handle all other clerical functions for the Rehabilitation Center Department, such as maintaining and updating resident lists and typing memos in an accurate and timely manner
  • Perform data entry functions, assemble, copy, file, and process data required by the community in an accurate and timely manner
  • Use Kronos Time and Attendance system to complete payroll for all hourly staff
  • Interview and assesses candidates to fill Front Desk Receptionist job openings
  • Provide departmental training to Front Desk Receptionists, supervise and evaluate performance, and create schedule to ensure continuous Front Desk coverage
  • Collaborate with nursing staff and HR Assistant to help track and ensure all newly hired employees complete their two step TB testing
  • Screen and announce visitors to residents
  • Routinely report any concerns regarding Residents, family members, and staff to the Administrator
  • Report any resident, family member or staff concerns to the Assistant to the Administrator
  • Carry out telephone answering and reception duties as required
  • Purchase and maintain inventory of departmental supplies and equipment within budgetary limits
  • Other duties as assigned by Supervisor
