Event Project Coordinator

Summary:

The Event Project Coordinator receives, organizes and helps manage event projects and needs for the Memphis region. They will work with the Creative Director and staff champions for various events to gather the necessary people, ensure the vision, look/feel, and major goals of the projects are brought to life. The ideal candidate is a galvanizer, has interpersonal/leadership skills, thinks creatively and strategically, takes initiative, is detail-oriented, has strong organization skills, has an ability to use discernment in making decisions, is a team player, and has the tenacity to see a project through to the finish line. This position is in person and requires regular office hours, church services and events and occasional evening availability for special events and volunteer connection.

Responsibilities include but are not limited to*:

  • Connect with Creative Director and other department leaders to acquire the vision and expectations for Memphis region events
  • Plan regional event elements with Creative Director, team members and requestors
  • Ensure details of plans are made and executed (based on each event)
    • Help contribute to the planning of concepts based on vision from Director and team
    • Coordinate miscellaneous needs based on event (booking talent, renting equipment, etc.)
    • Coordinate construction and execution of event build outs and environmental elements
    • Communicate and coordinate with location teams to develop and execute plans of event
    • Plan and monitor event project timelines
    • Oversee and adhere to necessary event budgets
  • Ensure design cohesiveness across all event buildouts and assets for locations
  • Assist Global Creative Project Manager in organizing and managing creative request for event projects
  • Communicate with Memphis pastors and leaders regarding status of event requests
  • Organize event project needs and plan timelines
  • Anticipate potential challenges and propose solutions based on requestor needs, timelines, etc.
  • Work with Event Administrative Support to help with event data tracking
  • Continually work to improve event processes by analyzing potential or current challenges and proposing solutions to increase efficiency and productivity

  • Proficient with Google suite (Docs, Sheets, Drive, etc.)
  • An attitude of continued learning and mastering creative content
