Job Title: Executive Project Assistant

We are seeking a highly organized and detail-oriented Executive Project Assistant to join our team at Allworld Project Management LLC. As an Executive Project Assistant, you will provide administrative support to our project management team, ensuring the smooth execution of projects from start to finish.

Key Responsibilities:
  • Provide administrative support, including document preparation, scheduling, and meeting coordination
  • Deliver regular updates to keep departments and Service Department Lead informed of project status
  • Assist in reviewing and approving incoming invoices
  • Coordinate community engagement activities
  • Assist with the organization and execution of contract and project deliverables
  • Coordinate with staff regarding weekly time and expenses and maintain required certification documents
  • Assist with requests for information and provide day-to-day departmental support activities
  • Keep records of all information related to project for documentation, clarification and presentation to management
  • Carry out administrative duties by collecting data, sorting, filing and sending out project files to the right personnel, workers, and stakeholders
  • Create presentations, maintain spreadsheets and databases
  • Managing the information and document flow of numerous ongoing projects
  • Perform project coordination, process/planning and resource allocation
  • Operate project engineering and construction administration
  • Assist with creating & editing engineering documentation.
Requirements:
  • Education- Bachelor's Degree preferred in Business Management, Administration or related field
  • Skills- Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc. Excellent analytical and strategic skills
  • Experience- three to five years of experience working in project management or related environment preferred

Working Conditions:
  • Individual contributor primarily in an office setting who provides administrative, clerical and support assistance to professionals, managers or executives.
  • Ability to be on feet while performing job responsibilities
  • Ability to sit for long periods of time depending on your position and/or getting
  • up and down through your work shift
  • Ability to view a computer for a long period of time
