As the Operations and Marketing Coordinator, you will play a pivotal role in ensuring the efficient operation of our business while contributing to effective marketing strategies. Reporting to the Vice President of Development and Operations, you will oversee administrative tasks, coordinate marketing efforts, and support project management initiatives.

This is an onsite job with occasional remote work opportunities.

Key Responsibilities:

  • Operational Support:
    • Assist in project planning and coordination, including scheduling meetings, maintaining project timelines, and tracking milestones.
    • Coordinate with contractors, suppliers, and internal teams to ensure project requirements are met on time and within budget.
    • Monitor project expenses and maintain accurate records of expenditures.
    • Assist in logistics planning and site management to ensure smooth project execution.
    • Manage all LLCs, BBLs, FR500s, etc.
    • Manage all DC fines and vacancy exemptions/registrations
    • Review of bi-annual property tax bills 
    • Manage all company licenses including: brokers, property manager, sales agents, etc. 
  • Marketing Coordination:
    • Collaborate with the team to develop and implement marketing strategies for development projects.
    • Coordinate the creation and distribution of marketing materials, including brochures, presentations, digital content, and building signage.
    • Manage digital marketing campaigns, including social media postings (Facebook, Instagram, LinkedIn) and website updates.
    • Support the organization of events, including groundbreakings, open houses, launch parties, and community engagement initiatives.
    • Coordinate third party marketing team (photographers, renderers, furniture staging, etc).
    • Monitor and analyze marketing campaign performance metrics to optimize effectiveness and ROI.
  • Administrative Support:
    • Manage office operations, including answering phones, handling correspondence, and maintaining office supplies.
    • Assist in financial administration tasks, such as processing invoices, expense reports, and budget tracking.
    • Provide general administrative support to the operations and development teams as needed.
    • Coordinate and manage all warranty work.
    • Other duties as assigned

Requirements

  • Proven experience (1-3 years) in operations coordination and/or marketing within the real estate development industry is preferred.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Excellent communication skills, both written and verbal, with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
  • Familiarity with digital marketing tools and platforms (e.g., social media management, email marketing) is required.
  • Ability to work effectively in a collaborative team environment and independently when necessary.
  • Bachelor’s degree, preferably in Business Administration, Marketing, Real Estate, or a related field.
  • Knowledge of real estate development processes and terminology is a plus.
