Job Purpose:

Assists the Volunteer engagement Supervisor in the recruitment, training and supervision of volunteers that assist employees in the efficient running of the facility and that assist with events requested by other departments. Maintains volunteer records and coordinates volunteer schedules, prepares volunteer program reports, and liaisons with community to attract volunteers.

Essential Duties and Responsibilities:
  • Recruits, directs, guides, and trains volunteers in performance of the respective duties.
  • Assists in the scheduling of volunteer training classes.
  • Coordinates with other departments in the development and implementation of new volunteer programs.
  • Evaluate, implement and keep current volunteer applications and screening process, volunteer handbook and training manuals on a regular basis.
  • Work with Volunteer Engagement Supervisor to prepare volunteer job descriptions and volunteer training manuals.
  • Facilitate professional interaction between volunteers and HSSA staff.
  • Responsible for recognizing potential problems with an individual that may not be appropriate for the program.
  • Assists in the scheduling and confirmation of volunteers for special events and other activities as requested from other departments.
  • Assists with the scheduling of volunteers for Off-Site adoptions (and additional locations on an "as needed" basis) and confirm on a weekly basis.
  • Record cancellations and make necessary changes to ensure adequate coverage of volunteer help.
  • Assists the Volunteer Engagement Supervisor in the planning and execution of the yearly Volunteer Recognition Event.
  • Assist with the design, research, and implementation of on-going recognition, appreciation, and motivational programs for volunteers including a yearly recognition event and acknowledge volunteers after special events by sending thank you cards.
  • Use the volunteer database to keep track of all volunteers, orientation dates, training dates, moneys collected, an all other information pertaining to individual volunteer job skills and work preference.
  • Schedule volunteers for various positions in the shelter to ensure consistent and even coverage.
  • Interface and cooperate with other departments within the organization by being involved in various planning committees.
  • Perform customer service to the standards set forth in HSSA's employee manual.
  • May drive company vehicle in performance of company business.
  • Perform other duties as assigned.
Working Conditions: Work is performed at an animal shelter in office space and throughout HSSA campus. Potential exposure to zoonotic diseases, dangerous and fractious animals, high noise levels, hazardous chemicals, and sharp objects. Field conditions may be encountered. Able to lift up to 50 lb., long periods of standing, bending, stooping, reaching and working outdoors in differing climates and animal handling and restraint in animal shelter setting. Potential exposure of infectious diseases to owned animals. Able to handle all sizes and activity levels of animals.

Position Requirements

Performance Factors and Necessary Skills:
  • Communication and Contact: The Animal Care Volunteer Coordinator must communicate effectively both verbally and in writing with superiors, colleagues, donors and volunteers and has tact and above average communication and customer service skills as well as excellent telephone etiquette. This person must also have considerable knowledge of English, spelling, punctuation and grammar. The Volunteer Coordinator must be organized and able to direct volunteer assistance.
  • Attendance and Dependability: The Animal Care Volunteer Coordinator can be depended on to report to work at the scheduled time and is seldom absent from work and can be depended upon to complete work in a timely, accurate, and thorough manner and is conscientious about assignments. The Volunteer Coordinator is required to work the Volunteer Appreciation event and the POD event.
  • Relationships with Others: The Animal Care Volunteer Coordinator works effectively and relates well with others including superiors, donors, colleagues, and individuals inside and outside of HSSA and exhibits a professional manner in dealing with others and works to maintain constructive working relationships.
Skills:
  • Excellent written and verbal communication skills
  • Considerable knowledge of computers and database management
  • Proficiency with word processing software, specifically Microsoft Word for Windows
  • Ability to prioritize and simultaneously handle multiple projects
  • Ability to develop and maintain a good rapport with public and peers
  • Ability to present information to large groups of people.
  • Excellent telephone etiquette
Qualifications/Educational Background:
  • BA or BS in Human Resources, Human Services, Animal Sciences, or related field of study and/or 2+ years' experience in Volunteer Coordinator position OR Applicable experience and/or 2+ years' experience in Volunteer Coordinator position preferred.
  • 1 year animal handling experience preferred.
  • Bilingual in Spanish preferred.
  • Possession of a valid Arizona driver's license and driving record acceptable to HSSA insurance carrier.
