We are currently looking for an Emergency Client Coordinator to add to our team This full time position includes weekend and evening scheduling. Ideal candidate will possess Veterinary Assistant/Technician experience, but please understand that this is a client facing position and not directly involving patient care.
Key Responsibilities
- Uphold the AESC values of: respect, empathy, passion, growth, community, and integrity.
- Coordinate patient hospitalizations and discharges.
- Perform patient care procedures such as walking, cleaning, bathing, feeding, and monitoring patients as directed by DVM and/or technical staff.
- Perform basic CSR duties such as answering phones, checking patients in and out, and scheduling appointments.
- Discussing financial options with clients and communicating financial updates throughout hospitalization stays.
- Providing client communications to build client confidence and understanding.
- Deescalating client conflicts and maintaining professionalism and empathy when dealing with difficult clients to provide exemplary client care.
Communication Skills:
- Effectively communicate with pet owners to provide updates, answer questions, and discuss treatment plans.
- Clearly convey important information and instructions to veterinary staff and team members.
- Handle distressed or anxious pet owners with empathy and professionalism, ensuring a calm and supportive environment.
- Manage and defuse tense situations involving pet behavior or client concerns.
- Address and resolve issues related to animal care, client inquiries, or facility operations with creative and practical solutions.
- Adapt to unexpected situations and make informed decisions to ensure the well-being of pets and the smooth functioning of the clinic.
- Accurately record and monitor patient information, including medical histories, treatment schedules, and medication administration.
- Ensure that all procedures, documentation, and care protocols are meticulously followed.
- Manage daily tasks and responsibilities with minimal supervision, including patient care, facility maintenance, and administrative duties.
- Prioritize tasks effectively and take initiative to address issues and improve processes.
- Utilize veterinary practice management software to schedule appointments, manage patient records, and process billing.
- Efficiently handle digital communications and maintain accurate electronic documentation.
- Professionally handle phone inquiries from clients, including scheduling appointments, providing information about services, and addressing concerns.
- Use clear and empathetic communication to assist clients and facilitate smooth interactions.
