Location: Gainesville, VA (hybrid)

Summary:

As a Service Accounts Data Entry Coordinator, you will conduct information and status updates to third-party software regarding open Service Work Orders, and review customer communications through that software. Also, ensuring that customer audits of service work performed by Vector Security Networks meets their Service Level Agreement. Ensures that non-compliant work orders are escalated within the Service Department to proper teams.

What You'll Do:

  • Update Customer 3rd Party Software:
    • Provide status updates on service work orders, to include ETAs, site status, and estimates needed to perform additional work.
    • Monitor and update work orders within 3rd party software with notes regarding progress, additional needs, and other concerns as needed.
    • Coordinate with internal departments to ensure timely progression of service tickets.
    • Monitor integration exception reporting to ensure 3rd party software integration with Vector Security Networks infrastructure is working as intended.
  • Service Estimates:
    • Assist with processing estimate writing and subsequent approval or rejections.
    • Follow up with clients on open submitted requests or proposals.
    • Create estimates and proposals on a limited basis as required.
    • Create cases in D365 when identifying open items that need troubleshooting, escalation, or financial approval.
  • Reporting:
    • Provide reporting on 3rd Party software volume and activity to leadership for review and evaluation.
    • Provide customer reporting to clients with periodic reporting requirements on open service work orders; may be applicable to clients without 3rd Party software solutions.
What You'll Need:
  • High School or Equivalent Education.
  • 1-2 Years Experience:
    • Call Center / Customer Service industry.
  • Attention to Detail:
    • Research and analyze details of site history, customer requirements, billing.
  • Analytical Skills:
    • Provide resolutions for progression of service tickets.
  • Communication & Interpersonal Skills:
    • Communicate regularly with customer and internal teams to provide updates and feedback.
  • Ability to Work Independently:
    • Able to make independent decisions regarding estimated time needed to complete the service job.
  • Adaptability:
    • Learning new customer requirements and contract changes.
