Job Summary:

The Administrative Assistant creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness and communication to all levels of employees.

Duties/Responsibilities:
  • Answer telephone calls and emails from customers and clients and directing then to relevant staff.
  • Monitor office supplies and ordering new stationery, furniture, and electronics as required.
  • Maintain the office condition and arrange necessary repairs.
  • Coordinate with IT department on all office equipment.
  • Provide general support to visitors.
  • Create, maintain, and organize databases and excel spreadsheet.
  • Prepare letters, presentations, and reports.
  • Help in coding and processing invoices.
  • Stay updated on technical and professional information.
  • Partnering and coordinating with accounts payable/ receivable.

Education and Experience:
  • High school diploma or equivalent
  • Proficiency in MS office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
Physical Requirements:
  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
