Administrative Support Specialist

Vrakas CPAs + Advisors is looking for an Administrative Support Specialist to join our team of talented professionals. This is a full-time position in our Brookfield office.

Responsibilities & Opportunities
- Provide essential support to the tax department by performing a range of administrative tasks, including assisting with the scanning and sorting of work papers, assigning tax preparers to returns, and managing the workflow process
- Assist within the organization, filing, and archiving of tax records in compliance with legal and company requirements
- Generate reports and summaries as required by the tax team
- Schedule and coordinate meetings, including internal team meetings and meetings with external stakeholders
- Prepare correspondence and documentation for clients as needed
- Answer phones, handle correspondence, and manage email communications
- Provide general administrative support to internal and external parties as needed
- Act as a point of contact for inquiries related to tax documentation and processes
- Provide administrative support to other firm departments as needed
Requirements
- 5+ years of administrative support experience in public accounting or experience in another related field
- High school diploma or equivalent
- Expert working knowledge of Microsoft Office, Teams, and Zoom
- Advanced knowledge in Word and Excel specifically
- Familiarity with tax software and document management systems a plus - SafeSend and CCH product lines including Document, Workflow, Engagement, Practice
- Detail-oriented, organized, and capable of managing multiple tasks efficiently
- Strong verbal and written communication skills
- Consistently dependable with a demonstrated ability to listen, anticipate, and respond to service needs while maintaining a positive attitude
- Problem solver who takes initiative and is eager to learn
- Self-starter who works well independently and as part of a team
