Legend Biotech is seeking Senior Commercial Coordinator as part of the Commercial team based in Raritan, NJ.

Role Overview

The Senior Commercial Coordinator will play a pivotal role in overseeing and coordinating projects within the commercial sector. The coordinator will be responsible for ensuring that projects are executed efficiently, on time, within budget, and to the satisfaction of our project leads. This role requires a keen attention to detail, strong organizational skills, and the ability to collaborate effectively with various teams and stakeholders.

Key Responsibilities
  • Communication and Relationship Management for Field Force
    • On Board new hires for Commercial team (in-house and field-based)
      1. Review processes/systems used and complete training, when necessary
      a) TCP (time off entry system)
      b) Concur (travel and expense system)
      c) Monday.com
      2. Process administrative requests
      a) Order printer/new hire supplies
      b) Order business cards
      c) Complete Concur account set-up request
      d) Notify project lead in Finance to enter new hire into
      Monday.com
      e) Order corporate credit card
      f) Update departmental/team distribution lists
      g) Update departmental organization chart
      h) Forward company holidays
      i) Forward payroll calendar
      j) Update time sheet tracker
      k) Update employee listing/headcount numbers for Finance
      l) Keep updated field roster on SharePo
  • Serve as the primary point of contact for new hires
  • Maintain strong relationships with field-based employees, ensuring their needs and expectations are met.
  • Communicate updates in a clear and timely manner.
  • Team Collaboration
    • Facilitate collaboration and communication across internal teams.
      1. Congress Management
      a) Work with vendor to compile SOW based on various congress requirements
      b) Collaborate with function heads to identify attendees for each congress
      c) Meet weekly with vendor to review registrations and hotel reservations for attendees
      d) Track updates and communicate in a timely manner to our vendor to avoid unnecessary charges
      e) At congress end, review reconciliation of charges from vendor to ensure accuracy and submit invoices for processing
      2. Compliance
      a) Work with Compliance to track congress attendees to ensure proper training is done prior to congress attendance
      b) Ensure that Compliance is updated with a state listing for healthcare compliance requirements for our field teams
      3. Account Coverage Map
      a) Keep an up-to-date roster of accounts and field assignments for CTAS, CTCE and share with Janssen counterparts
  • Schedule and organize team meetings, track action items, and follow up on
    deliverables.
  • Documentation and Reporting
    • Maintain accurate project documentation, including contracts, schedules,
      budgets, and change orders.
    • Budget for Commercial Team
      a) Work with project leads to confirm necessary documentation for
      project to include CDAs, MSAs and/or SOWs
      b) Submit requests to legal for documents to be created and act as
      liaison between legal and vendor to fully execute necessary
      documents
      c) Work with vendor to submit SOW into SAP system to create a
      purchase order and then track submitted invoices for approval
      and payment
      d) Coordinate directly with vendor any necessary SOW addendums
      for budget increases and process updates through Procurement
      e) Follow up with project leads to review year end processes and
      obtain final invoices for the year Prepare regular progress
      reports internal stakeholders
      f) Meet with budget holders quarterly to review spend/gating for
      the fiscal year
    • Meet with finance partner monthly/quarterly to review
      month/quarter end budget numbers for accuracy
      h) Communicate exhibit budget updates quarterly to Regional Sales
      Managers, National Sales Director and CTCE Leads
    • Budget for Exhibits for Field Team
      a) Work with field team members to review and give final approval
      for Exhibit Requests
      b) Secure all documentation within the SharePoint site
      c) Process payment for Exhibit Requests and compile required
      expense report for said payments
      d) Enter new vendor requests for ACH payments with
      procurement/finance and track progress
    • Monday.com for Commercial Team
      a) Track working time versus PTO time for all team members
      b) Enter time into system weekly
      c) Review reports from Finance monthly and quarterly for accuracy
      d) Ensure that all on-boarding and off-boarding information
      correctly communicated to Monday.com project lead in Finance
      as well as any updates to project codes due to internal transfers
    • CarData for Field Team
      a) Input all new hires into system; ensure to enter end date for
      anyone departing the company
      b) Run monthly Manager Approval Status
      c) Run monthly Master Payment Notice
      1. Split notice into Medical Affairs and Commercial
      invoices and send to Medical Affairs coordinator
      2. Send Commercial invoice to AP for payment
      3. Enter information into budget tracker and purchase order
      tracker sheets
      d) Run Quarterly Tax Adjustment Report
      1. Send information to Payroll
      2. Send emails to affected users
  • Administrative Tasks
    • Senior Vice President and Vice President of Commercial Development
      1. Effectively manage calendar to support executives and ensure smooth
      operations; meet weekly to review
      a) Review conflicts, changes, new requests promptly while looking
      ahead to avoid last minute challenges

      c) Use color coding to differentiate between meetings, deadlines,
      personal time, events and travel
      d) Set reminders for important deadlines
    • Coordinate travel arrangements
      a) Fully review and understand company travel policy
      b) Compare flight/hotel options based on meeting/conference
      attendance requirements
      c) Ensure all travel information is clearly noted on calendars
    • Compile and submit expense reports
      a) Fully review and understand company expense reporting
      requirements
      b) Ensure that all expenses are supported by receipts
      1. Obtain attendees for all meals (if necessary)
      2. Confirm cash/out of pocket amounts/receipts
      c) Prepare/Submit expense report in a timely manner
Requirements
  • A college degree or equivalent
  • 3-5 years' experience within commercial team coordination
  • Technical experience to assist with commercial's budgeting, account mapping, and operating applications for the field/marketing teams.
  • Knowledge of business communication and ability to independently compose routine correspondence and reports.
  • Strong verbal and written communication skills.
  • Demonstrated proficiency with the most current computer operating systems, Microsoft Office (particularly Outlook, Word, Excel, and PowerPoint), SharePoint, Adobe Acrobat Professional, Concur, and other PC-based applications.
  • Excellent interpersonal skills and culture diversity awareness.
  • Demonstrated ability to work well under pressure and with frequent interruptions; must have effective time management skills and the ability to multitask.
  • Ability to work independently and as part of a team.
  • Excellent organizational skills and the ability to anticipate needs, exercise good judgment, work independently, and meet strict deadlines.
