Position Overview:

The License and Permit Specialist is responsible for supporting the Legal Department in ensuring permit, license, and permission compliance, maintaining related systems of record, and preserving any relevant files and documentation.

Job Qualifications:

  • 2 years of experience with license and permit administration, required.
  • 2+ years experience with office administration and support, preferred.
Location Requirement:

This position is required to be in Phoenix, AZ

Key Result Areas (KRAs):

Ensure DB remains compliant with all necessary permits, licenses, and permissions:
  • Monitor, process, and document licenses and permits necessary to maintain compliance in all jurisdictions
  • Work with internal and external legal counsel to ensure uniform completion of all government forms, applications, registrations, etc
  • Work with multiple internal departments to ensure accurate completion of all government forms, applications, registrations, etc
  • Work with internal departments and local jurisdictions to coordinate inspections and/or issuance of certificates of occupancy, when needed
  • Gather required supporting documents and authorized signatures on all applications
  • Track and complete all license and permit renewals, when applicable
  • Research and document required operational licenses for company
  • Assist in resolving licensing issues as needed
  • Maintain current and proper knowledge of licensing and permitting best practices
  • Confirm government compliance where tasks are owned by other departments
  • Assist with registration for and management of all licensing and online tax accounts required for both Finance and Payroll Departments to pay taxes
Maintain all license and permit processes and systems:
  • Perform tasks as required to maintain data integrity and security within the company's current licensing software
  • Enter and maintain location and license setups and applicable data within current licensing software for all locations and licenses
  • Update data, as requested, within the company's current property management system.
  • Maintain and update tasks required to open a new outlet on all current standard interdepartmental project checklists and trackers
  • Design and complete project checklist(s) necessary to ensure full government compliance of all HQ property, projects, events, event trailers, and new or acquired shops, including but not limited to securing all licenses, permits, approvals, and other requirements for opening
  • Manage processes pertaining to the use of the Legal Department's designated Credit Card and its use for payment of any license and permitting fees, as applicable
Assist with the preservation of all electronic and hard-copy legal files:
  • Assure retention and organization of all original legal records
  • Scan and file all legal documents, as needed
  • Keep files organized and up-to-date
  • Adhere to established filing protocols
  • Monitor access to legal files
Physical Requirements:
  • Occasional lifting up to ten pounds
  • Must be able to work in a climate-controlled office environment
  • Vision must be good, or corrected to normal, to perform normal job duties
  • Hearing must be good, or corrected to normal, to have the ability to understand information to perform job duties
  • Ability to read and write in English in order to process paperwork and follow up on any actions necessary
  • Sitting for extended periods of time
  • Manual dexterity needed for keyboarding and other repetitive tasks


Compensation:

$23.50 - DOE
