The Director of Operations will play a critical role in organizing and managing the back-of-house functions in support of the firm's rapidly growing Project Management and Development service lines. This person will take ownership of resource management, billing/collection, marketing support, budgeting and revenue forecasting. Additionally, you will serve as the gatekeeper to ensure quality control over all tools and standards used in the day-to-day delivery of project work for our clients.

Responsibilities and Essential Duties:

Project Support

  • Cultivate and curate all project management tools, templates and standards to ensure consistency and quality in client work and deliverables.
  • Coordinate all project start-up and close-out activities to ensure consistent application and ongoing development of all relevant standards, tools and procedures.
  • Serve as a power user as well as provide support and training to others on all tools and software including Deltek, Northspyre and Sharepoint.

Service Line Management

  • Coordinate all project staffing plans and resource management within Deltek system including project set-up, resource planning and tracking.
  • Coordinate preparation, approval and submission of all project invoices and track accounts receivable through Deltek system.
  • Provide timely reporting and feedback to service line and firm leadership on relevant project-level and service line results including resource allocation, utilization, revenue tracking, profitability, A/R management and other key performance indicators, etc.
  • Coordinate and manage all service line training/development initiatives, performance management and other human resource matters.
  • Prepare periodic operating forecasts and annual budgets for Project Management and Development service lines.

Sales and Marketing

  • Work with firm leadership to create, distribute and execute engagement agreements and contract documents for each project.
  • Work with firm leadership and marketing personnel to manage proposal development.
  • Work with firm leadership and marketing personnel to develop and maintain service line marketing collateral.
  • Track, monitor and report on all open sales and business development activities and provide periodic revenue forecasts.
  • Coordinate all service line business development and marketing efforts including social media, fact sheets, sales tracking/CRM efforts, etc.

Education/Qualifications/Experience/Skills:

  • Bachelor's degree or equivalent work experience is preferred
  • Minimum 5 years experience in similar role in professional services environment with preference for design, development or construction industry.
  • Working proficiency in Microsoft Office Suite, including Microsoft Word, Excel, PowerPoint and SharePoint.
  • Expertise in Deltek and Northspyre is strongly preferred
  • Strong verbal and written communication skills are required
  • Customer service driven
  • Detailed oriented with the ability to recognize discrepancies
  • Ability to work with multiple project teams, vendors and clients
  • Must thrive in a fast-paced work environment
