Administrative Assistant/Receptionist | Temp to Perm position | FT (M-F, 8:30-5 with summer Friday hours) | $19-24/hr DOE | On-Site | Media, PA

A day in the life of a Receptionist/Administrative Assistant
  • Serve as first point of contact for visitors and clients while also providing administrative support to executives and managers with the team
  • Front Desk Management - greeting and assisting visitors in a professional and friendly manner; managing incoming calls, emails and correspondence; monitor incoming and outgoing faxes, FedEx, USPS packages and mail; maintaining cleanliness and organization of the reception area, kitchen and all other shared office spaces
  • Administrative Support - provide administrative assistance to executives and managers including calendar management, travel arrangements and expense reporting; prepare and edit correspondence, reports & presentations as required
  • Meeting Coordination - schedule and coordinate meetings, appointments and conferences; prepare meeting agendas, materials and follow-up documentation; prepare binders, proposal booklets and tabs for account analysts and managers; arrange for catering and logistics for meetings and events
  • Data Management - maintain and update contact lists, databases and filing systems; manage confidential information with discretion and integrity
  • Support Team Collaboration - collaborate with other administrative staff to ensure seamless office operations; assist with special projects and initiatives


Requirements for the Receptionist/Administrative Assistant position
  • Bachelor's degree in business administration or related field preferred
  • Experience in a corporate or executive environment preferred
  • Proven experience as a receptionist, administrative assistant or similar role
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint & Outlook)
  • Strong organizational and time management abilities
  • Attention to detail and problem-solving skills
  • Ability to multitask and prioritize tasks effectively
