The Opportunity
Baton Collective, an affiliate of RDV Staffing, is seeking a dynamic Marketing Events Specialist to bring creativity and precision to our events and marketing initiatives. As the creative force behind our diverse portfolio of events, you'll have the opportunity to showcase your talents across a wide spectrum of projects from intimate gatherings to grand celebrations. You'll be responsible for event calendar management, coordinating seamless event logistics, and collaborating with businesses in Ada Village and across West Michigan to amplify their presence and bring community together. Your work will leave a lasting impact on the community and showcase Ada and beyond as an epicenter of innovation and engagement.

Location and Hours
  • Office is located in Ada with in-office hours on Tuesday, Wednesday, Thursday.
  • Monday & Friday has the flexibility to work remotely or in-office based on preference and business/event need. Please note that this role will be required to work outside of traditional business hours to meet deadlines, support local events, or to set up and/or tear down event materials.

What You'll Do
  • Collaborate with Marketing Team to develop and execute comprehensive event strategies aligned with organizational objectives including holiday celebrations, restaurant weeks, grand opening events, and community festivals.
  • Coordinate event logistics, including vendor negotiations, technology needs, creating event agendas, managing registration, and volunteer coordination.
  • Collaborate with the Marketing Team to create cohesive marketing communications for events with consistent messaging and visual branding across event communications.
  • Manage on-site event setup, technical coordination, day-of execution, and event teardown.
  • Perform detailed return on investment (ROI) analysis for events to demonstrate strategic impact and continuous improvement.
  • Collaborate and serve as a liaison with local businesses and various partners to support event promotion, branding, and communication strategies, building and maintaining these relationships.
  • Support broader marketing team initiatives and contribute to collaborative team goals.
  • Crafting detailed timelines for events ensuring all details are accounted for and communicated to those involved.

What You'll Bring
  • 2+ years of experience in event planning, preferably in a startup or small business environment; Certified Special Events Professional (CSEP) or similar certification preferred.
  • Exceptional organizational skills with the ability to manage multiple complex events simultaneously with a proven track record of successful event execution and stakeholder management.
  • Strong organizational skills able to manage complex logistics and budgets effectively.
  • Creative thinker with a knack for designing innovative event concepts and experiences.
  • Proficiency in Canva or similar software as well as MS Office Suite.
  • Availability to work flexible hours including nights and weekends as required by event schedules.
  • Strong communication skills both written and verbal with a passion for community engagement
  • Demonstrated ability to work independently as well as part of a collaborative team.
