We are currently seeking a self-motivated with strong analytical and Excel skillsets Senior Administrative Assistant for a food manufacturing client in Cambridge.

This is a 1st shift, direct hire opportunity.

Education:

  • Associate Degree, BA BS Degree preferred

Experience:

  • 3 - 5 years as an Administrative Assistant.
  • Capable of handling confidential information.
  • Working knowledge of general office practices.
  • Ability to interface with management.
  • Excellent communication skills.
  • Ability to work with minimal supervision.
  • Well organized, accurate and detailed oriented.
  • Microsoft Word, Excel, Power Point, Oracle and Tabware Systems a plus.
  • Fluent in Spanish (a plus)

Duties

  • Computer support for Plant Manager, Engineering & Maintenance Manager, Human Resources Manager, Quality Assurance and Production Departments
  • Generate Temp Payroll and submit to appropriate agencies.
  • Maintain and update plant and department procedures when necessary.
  • Cover for Security Guard during daily rounds.
  • Perform mail room duties as required; Fed Ex, sort incoming mail.
  • Track Staff and salaried personnel vacation/attendance schedules. Manage expense reports to Chicago for processing.
  • Manage and stock Company Candy Store.
  • Responsible for ensuring meetings for the conference rooms are available when needed using Microsoft Outlook calendar.
  • Prepare and maintain CBR's logs (budget requests).
  • Update and distribute Project Activity Report weekly.
  • Order/maintain inventory of office supplies as needed and within budget.
  • Liaison for the IT Department at Tootsie Roll in Chicago including new employee computer set ups. Interface with plant employees on computer issues. Troubleshoot computers and printers
  • Enter requisitions into Oracle system
  • Data entry support for Q.A., Engineering, Controller, Production
  • Back up support to Administrative Assistants as needed.
  • Arrange travel, hotel reservations, meetings and luncheons.
  • Perform other duties as assigned.

Additional Information

  • Rate: $30 - $32 per hour
  • Excellent benefits including medical/dental insurance, 401(k) with match and parking
  • Hours: 7:30 am- 4:00pm
  • Work Week: Monday-Friday
