Primary Job Function:
The Receptionist is responsible for managing a wide range of reception duties, ensuring that the front desk operates smoothy and efficiently. This role serves as the first point of contact for visitors, clients, and employees, providing exceptional customer service and a welcoming environment while ensuring safety and security protocols are followed. The Receptionist may also be called upon to assist with administrative functions and special projects as needed.
This position has an on-site schedule as it requires regular access to the Thornburg campus to support operations that cannot be performed remotely.
Duties & Responsibilities:
- Greet and welcome visitors with a positive and professional demeanor.
- Answer and direct incoming phone calls to the appropriate departments or individuals.
- Maintain the reception area, ensuring it is tidy, organized, and presentable.
- Ensure safety and security procedures are followed by managing guest notifications, issuing visitor badges, monitoring surveillance cameras, and alerting the appropriate team of anything suspicious or out of the ordinary.
- Coordinate with various departments to ensure smooth internal communication and operations.
- Update and maintain accurate documentation of office procedures, processes, and reception protocols.
- Provide support for special projects as required by the management team.
- Handle sensitive information with confidentiality and discretion.
- Act as the first point of contact for emergency procedures and assist in coordinating evacuations if needed.

- High school diploma or equivalent - required .
- Previous experience in a receptionist or administrative role - required .
- Proficiency in Microsoft Office Suite and Adobe.
- Experience with Zoom, Avigilon, Concur and Fresh Service - preferred .
- Excellent communication and interpersonal skills.
- Professional appearance and demeanor.
- Ability to work independently as well as part of a team.
- Flexibility to work beyond normal office hours when needed.
- Ability to lift 25 pounds.
- Ability to work at a computer for extended periods of time.
