Position Summary:

Performs event planning and administrative duties for the Development Department.

Responsibilities:

  • Plans and prepares for events, to include coordinating details with facilities and vendors, requesting menus, ordering flowers, creating room setups, generating publicity and printed materials, maintaining attendance lists, staging and de-staging supplies.
    • Some evenings, mornings, weekends, occasional 12-hour days
  • Prepares correspondence, reports, memorandums, agendas, minutes, forms, tables, etc. for various meetings in coordination with event planning.
  • Researches gifts, giveaways, favors and/or prizes for events.
  • Creates, maintains, and manages databases, to include preparation of mailing lists for events and mail program audits for several groups.
  • Updates and maintains checklists and processes for all events.
  • Maintains, organizes, and tracks inventory of supplies and giveaway items in storage area.
  • Completes all aspects of medals, trophies, and award artwork and ordering as needed for events.
  • Serves as liaison to various outside organizations to host meetings, with responsibilities for scheduling, room reservations, and room setup requests.
  • Collects and reports data.
  • Prepares event budgets and tracks expenses accordingly.
  • Answers telephone and follows through with assisting callers.
  • Completes all WebEd requirements as assigned.
  • Ensures that personal performance reflects the Mission, Vision and Standards of Behavior and Departmental Goals.
  • Provides coverage for other staff as needed.
  • Other duties as assigned.
Requirements:
  • Minimum requirement, two years of experience and high school diploma/GED
  • Bachelor's degree preferred
  • Strong communication skills, verbal and written
  • Advanced computer skills
  • Prioritize and organize work effectively
  • Exercise discretion, judgment and initiative
  • Ability to work independently
