Job Description
Lead the management and operational functions of multiple Tampa commercial properties servicing private and governmental tenants with an emphasis on team organization, staff supervision, accounting, and renovation coordination for the operations needed to maintain and enhance the physical appearance and financial capabilities of the assigned assets, to ensure budget performance, and maximum Tenant satisfaction.
ACCOUNTING
Perform specific accounting requirements such as budgeting, P and L review, invoice review/approval, and vendor vetting.
Work with the corporate office's management and accounting team members to review cost issues, expenses, and savings programs.
Collaborate to create long-range deferred maintenance and renovation cost models for all properties.
Control all property-level capital expenditures, budgeted expenses, and utility monitoring.
Review vendor invoices and complete inspections for all work prior to payment to ensure pricing accuracy and scope close out.
Provide monthly analyses of variances, forecast updates, and review performance against operating models.
STAFF
Manage 2-4 maintenance staff team members, provide performance reviews, training, and coordinate in-house maintenance projects.
Manage 3rd party vendor service providers.
Implement and coordinate all safety standards per OSHA for the staff and tenants.
Ensure implementation of preventative maintenance programs by documenting regular weekly inspections of the interior and exterior of each property.
Verify the satisfactory completion of all tenant work order requests and provide documented completion reports with the maintenance staff.
CONSTRUCTION
Supervision of construction, service providers, maintenance tasks, and staff.
Perform inspections, contractor interaction, bidding, and improvement assessment.
Identify areas for repair or improvement, prepare work specifications, and utilize internal resources at properties where assistance is available or outsource when it is not.
Engage with subcontractors and service vendors to provide bids for work and improvements including a review of all scopes, specifications, recommendations of contractors, and service providers to work with.
Negotiate all maintenance contracts and vendor bids utilizing a 3-quote system for all planned expenditures.
Interface with tenants, contractors, and service providers to ensure compliance with bids, work scopes, codes, and related maintenance/improvement needs.
Monitor work activities at the properties with maintenance staff team members and vendors verifying the completion of tasks per work orders, scopes, and bids.
Manage concerns and all emergency work scopes for items such as security, roofing, landscaping, plumbing, electrical, doors/hardware, and HVAC.
GENERAL
Proficient in Excel and Word.
Well-spoken in English with an emphasis on quality writing and reading skills; Spanish speaking is a plus.
Highly Organized / Self Starter.
Participate in the creation and implementation of individual Tenant Manuals.
Create, coordinate, and implement disaster and emergency protocols.
Coordinate and be available for after-hours emergency services.
Complete monthly property reports and performance reviews.
Responsible for all operational issues as they relate to tenant relations.
Maintain ongoing communication with and receive phone calls from tenants, contractors, on-site personnel, and supervisors.
Perform routine investigation of tenant problems and resolve them in a professional manner.
Encourage corporate presence in the assigned territories by meeting with industry peers, community leaders, tenants, and brokers to ensure that appropriate public relations, customer service, marketing plans, and images are maintained.
Ensure that community involvement is a primary part of their mission to enhance the value of assigned assets.
Cooperate with local municipal agencies and departments to ensure adherence to local codes and regulations.
Identifies market changes and trends that might affect the viability/value of the properties.
Meet with local, state, and federal government officials to ensure that appropriate regulations are being met.
