VOLUNTEER COORDINATOR (PART-TIME)

Founded in 2007, Operation Shower is a 501(c)(3) non-profit organization dedicated to celebrating and honoring military families by providing joyful, amazing group baby showers for military families to ease the stress of deployment ( www.operationshower.org ). We rely on a network of existing and new volunteers in the St. Louis area and across the country to achieve our mission.

POSITION SUMMARY: The ideal Volunteer Coordinator is a self-starter who will take charge of Operation Shower’s volunteer program and who has excellent organizational and communication skills. This role reports to the Chief Creative Officer, and will work closely and collaboratively with the entire Operation Shower team.

The position is for 20-25 hours per week.

Location: The position is located at Operation Shower’s St. Louis, Missouri, office and will be a hybrid of in-person and virtual work. Some travel required.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Develop a dedicated team of shower volunteers who believe in Operation Shower’s mission and who will become an integral part of Operation Shower.

Shower-related Volunteers: Determine the volunteer needs of each shower in coordination with the Operation Shower team. Identify potential volunteers in the shower location area by reviewing historical volunteer attendance at prior showers (if any),

and work with the shower sponsor to define volunteer needs and determine the sponsor’s pool of available volunteers. Responsible for ongoing event communication and coordination with non-sponsor and sponsor volunteers leading up to the showers. Coordinate with the Operation Shower team to create necessary event documents and volunteer assignments for showers. Arrange any other details, as needed, to enhance the volunteer experience. Volunteer Coordinator will be expected to travel to showers, as needed, and within the time constraints of the position. At showers, be the primary point of contact for all volunteers and direct activities, including: Signing-in volunteers and tracking attendance and hours volunteered, Communicating assignment and details of tasks, Leading volunteer meetings and walkthroughs to ensure all volunteers understand assigned tasks, and Ensuring volunteers have a good experience and their time is well-spent. When not attending a shower, responsible for designating another team member as the primary point of contact at the shower to fulfill responsibilities. Send intentional notes of thanks to shower volunteers and follow up in any way that will help facilitate a strong working relationship going forward. Update volunteers’ contact information, attendance and hours in constituent database (Neon CRM). Develop a post-event survey to distribute to non-sponsor and sponsor volunteers. Receive, track and communicate to the Operation Shower team, the survey responses. Continue communications with volunteers concerning upcoming needs and their value to Operation Shower.

In-Office Volunteers: Support Operations Coordinator in developing a dedicated team of

in-office

volunteers who believe in Operation Shower’s mission and who will become an integral part of Operation Shower.

Other Responsibilities: Foster ongoing relationships with non-sponsor and sponsor volunteers, including: Recognize volunteers throughout the year, and Coordinate with the Operation Shower team to post volunteer stories and pictures on social media. Cultivate positive relationships with community organizations, schools, and businesses to recruit volunteers and promote volunteer opportunities. Attend in-person and virtual team meetings, as required. Represent Operation Shower at community events. Recruit and manage volunteers for fundraising events. Maintain good working relationships with co-workers and positively contribute to group morale. Participate in special projects or committees, as needed. Interact with the team, sponsors, volunteers, showered moms, vendors, etc. in a professional and courteous manner. Other duties as assigned.

QUALIFICATIONS

Experience in volunteer management, community engagement, or nonprofit coordination a plus; Strong leadership skills with the ability to inspire, motivate, and lead others; Excellent

organizational and communication skills (via email, phone, and in-person); Able to lead in-person meetings of 20-30 people; Adaptable to last minute changes; Able to coordinate and communicate the status of multiple events at one time; Able to manage multiple tasks and prioritize effectively; and Familiarity with Google Suite (docs, spreadsheets) and with constituent and project management databases such as Neon CRM and Basecamp.
