Administrative Coordinator The Administrative Coordinator is responsible for the coordination of various administrative functions for a designated area or leader(s) in a time sensitive, accurate, and confidential nature. Primary responsibilities include task tracking, organization of data, calendar management, correspondence, travel/expense management, response to inquiries and requests, meeting management, and support of local facility needs. Essential Functions The Administrative Coordinator works closely with their assigned group or leader(s) and serves as a liaison with other internal and external stakeholders. Under the direction of the leader(s), caregiver may be assigned special projects and may lead out on teams and initiatives. Work is generally focused within a department or local service line. The Administrative Coordinator provides support of a technical nature including remote meeting management, facilitation of presentations, and management of multimedia needs both by the leader(s) and meeting support. May be responsible for department day to day operations and goals that relieve and assist the leaders of routine project or advanced administrative duties. Skills Department Management Calendar Management Schedule Management Travel and Expense Management Scheduling Meeting Management Outstanding Organizational Abilities Answering Telephones People Management Office Administration Organizing Required Qualifications Demonstrated organizational skills and attention to detail Demonstrated experience managing schedules, correspondence, remote and in-person meetings Demonstrated interpersonal verbal and written communication skills including spelling, punctuation, grammar Preferred Qualifications Experience in an office setting supporting a leader or department Experience working in a healthcare setting Experience with spreadsheets and presentation software Customer service experience Travel/expense management Physical Requirements: Ongoing need for employee to see and read information, labels, documents, monitors, identify equipment and supplies, and be able to assess customer needs. Frequent interactions with providers, colleagues, customers, patients/clients and visitors that require employee to verbally communicate as well as hear and understand spoken information, needs, and issues quickly and accurately. Manual dexterity of hands and fingers to manipulate complex and delicate supplies and equipment with precision and accuracy. This includes frequent computer use for typing, accessing needed information, etc. For roles requiring driving: Expected to drive a vehicle which requires sitting, seeing and reading signs, traffic signals, and other vehicles.
