Safety Sensitive Position
  • Perform accounting and clerical functions to support supervisors.
  • Research, track, and resolve accounting problems.
  • Compile and sort invoices and checks.
  • Issue checks for accounts payable.
  • Record business transactions and key daily worksheets to the general ledger system.
  • Support accounting personnel.
  • Input type vouchers, invoices, checks, account statements, reports, and other records.
  • Provide front desk customer service.
  • Work with adding machines, calculators, databases and bank accounts.
  • Match invoices to work orders.
  • Process bills for payment.
  • Open mail and match payments to invoices.
  • Arrange for money to be delivered to bank.
  • Utilize computer systems to run databases, pay bills and order supplies.
  • Contact individuals with delinquent accounts.
  • Organize office and assist associates in ways that optimize procedures
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Coordinate with other departments to ensure compliance with established policies
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Perform receptionist duties when needed
  • Pricebook maintenance and data entry for C-Store locations
  • Monthly Bank Reconciliation
  • Price adjustments per Vendors and coordination of new items
  • Marketing knowledge and skills a plus
  • Any and all other duties assigned
Qualifications
  • Qualifications: Computer experience; strong organizational skills. Ability to maintain confidentiality related to Customers, Employees and the Company. Strong Communication Skills including but not limited to, email, text, voicemail verbal communication as well as the ability to interact with Community, Customers, Employees, Supervisors, and Vendors.
  • Education: High School Diploma or its equivalent.
  • Work Requirements: Must be able to deal with a variety of personalities and situations. Must have integrity to maintain confidential information. Must act as a strong member of the team, functions autonomously and must maintain professionalism when dealing with Company Vendors and Customers.
Requirements
  • Proven experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Proficiency in MS Office with an emphasis in Excel
