The ideal candidate willbe capable of multi-tasking, coordinating and organizing the schedules, customer demands and invoicing for a portion of the Service Division. Asa member of the Service Division, a willingness to respond in urgent oremergent repairs after regular business hours can be a necessity. Aclean driving record is required. Responsibilities for the Service CoordinatorReasonable accommodations may be made toenable individuals with disabilities to perform the essential functions.As the main point of contact for the service department, the Office Administrator will maintain and coordinate day-to-day calendar for SystemsIntegration teamInteract with customers, internal sales personnel and principalpartners to schedule field work will be required dailyWork with integration team members to coordinate equipment neededto fulfill scope of workUtilize the ERP system to coordinate invoicing for integrationprojects and manage internal filing of reports to customer history filesManage phone call and emails from customers as schedules changewith ability to problem-solve and prioritize workload Track internal/external reports for completion/submission toprincipal partnersWork with Service division to enter orders in ERP system and orderbill of materials for projects utilizing internal tracking reports/systemWork with Service division to enter orders in ERP system for SCADAservice work and invoice/file electronically when completedAssist with information/manage tracking and notification of BOMitems received for projects to project managersInvoice projects as required in ERP systemCreate and maintain tracking folders for individual projects ininternal company system ERP system entry of billable hours on projects on aweekly basisAll otherduties as assigned by supervision.Requirements for the Office Administrator Minimum 0-3 years' experience in administrative roleAbility to operate standard computer work station, quick ability to learn software platforms, such as ERP systems, Salesforce and Office Suite products. Strong organizational and communication skills necessary. High School Diploma/GED required.
