Position Summary:

The Site Access Specialist will work in the Badge Office and be responsible for providing comprehensive administrative and clerical support to the Site Access Office. This role is crucial in ensuring smooth and efficient operations, particularly in managing site access credentials. The successful candidate must be punctual, reliable, and capable of managing daily office operations from opening to closing.

Job Duties/ Responsibilities:

Daily Operations:

  • Open the Site Access Office punctually each day and remain until closing.
  • Ensure the office is prepared for daily operations, including setting up workstations and ensuring all equipment is operational.
Administrative Support:
  • Handle a wide range of administrative duties including data entry, filing, and record keeping.
  • Maintain and update access databases with accurate information on personnel and site access credentials.
  • Process badge requests and renewals, including verification of identification and authorization documents.
  • Assist in the coordination and scheduling of site access for employees, contractors, and visitors.
Customer Service:
  • Serve as the first point of contact for all site access inquiries, providing excellent customer service to employees, contractors, and visitors.
  • Address and resolve issues related to site access and badge functionality promptly and effectively.
  • Educate personnel on site access policies and procedures, ensuring compliance with security protocols.
Clerical Duties:
  • Manage incoming and outgoing correspondence related to site access.
  • Maintain office supplies inventory and place orders as needed.
  • Assist in the preparation of reports, presentations, and documentation as required.
Compliance and Security:
  • Adhere to and enforce all company security policies and procedures.
  • Conduct regular audits of access control systems and records to ensure compliance and integrity.
  • Report any security breaches or concerns to the Site Access Office Manager immediately.
Skills Required:

Education and Experience
  • High school diploma or equivalent required; associate's degree in a related field preferred.
  • Previous experience in an administrative or clerical role, preferably within a security or site access office environment.

Skills and Competencies:
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and database management.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Customer service-oriented with a proactive approach to problem-solving.
