ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned.) Serve as the receptionist of South Portland Adult Education. Make and receive telephone calls, take messages, route calls, check voicemail, and greet visitors. Provide administrative support to the Director and Program Coordinator. Enter student intake and attendance data online. Update What’sApp group lists. Maintain student paper files and other files. Organize electronic files/paper files of external opportunities/fliers for students. Order and track office and instructional supplies using purchase orders. Keep supplies organized. Assist teachers with photocopy requests. Make photocopied packets for students. Assist with keeping website and other print publications up-to-date. Help with events such as adult education graduation and other students/staff celebrations. Attend MDOE office hours for administrators. Evening hours required (agreed upon and typically a set schedule of one or two evenings/week). Additional duties as required by the Director or designee. SUPERVISORY RESPONSIBILITIES: None. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. LANGUAGE SKILLS: Ability to write routine reports and correspondence and read and interpret documents. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. OTHER SKILLS and ABILITIES: Ability to word process at 55 words per minute. Ability to operate a personal computer and related software. Ability to get along with other people. Ability to develop effective working relationships with students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
