The Contracts and Title Clerk processes all vehicle sales received from the sales departments, auditing paperwork to ensure compliance with all Pro-Caliber, State and Federal requirements. They will also ensure the smooth preparation of titles for all sold vehicles and manage the legal transfer of documents with the Department of Motor Vehicles (DMV). This position requires meticulous attention to detail, compliance with state and federal regulations, and effective coordination with various departments to ensure timely and accurate title processing.

Contracts and Title Clerk Compensation and Benefits:

Contracts and Title Clerk Competitive Salary:$23-$26/hr

Paid Holidays:Hannah Motor Company offers at least 6paid holidays per year to the Contracts and Title Clerk subject to completion of the introductory period and other eligibility requirements as per company policy.

Contracts and Title Clerk Responsibilities:
  • Audits paperwork received from sales departments to ensure paperwork follows Hannah/Pro-Caliber, DOL and DOR requirements. Communicates with sales staff regarding any deficiencies in paperwork.
  • Submits and posts sales commissions.
  • Enter all MU inventory and pay off sold units.
  • Processing of licensing through VITU for Oregon deals.
  • Review and ensure all required paperwork for titling/registration is included and complete for every deal.
  • Prepare and process all new and used vehicles for registration in the state in which they will be titled with accuracy, ensuring documents are completed and filled out with correct information.
  • Verify funds have been collected prior to submitting documents to DMV.
  • Follow up with lenders on outstanding titles when needed.
  • Reviews accounting schedule daily to ensure all licensing stays in compliance and clear any outstanding issues.
  • Promptly handle any Missing Requirement Request from DMV.
  • Communicate with lenders regarding delays and title status.
  • Basic accounts payable and receivable tasks.
  • Communicate closely with internal teams with any title document related issues.
  • Stays abreast of State title regulations.
  • Maintains a professional appearance and a neat work area.
Contracts and Title Clerk Qualifications:
  • Excellent communication skills (including listening, speaking).
  • Ability to read, speak and understand English.
  • Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
  • Ability to multi-task.
  • Ability to work alone, self motivate and manage one's own time.
  • Physical ability to use computer hardware/software.
  • Team player with a positive attitude.
  • Computer literate (MS Word, Advanced Excel, Outlook,).
  • Organized and extremely detail oriented.
  • Ability to prioritize.
  • Deadline-oriented.
  • General math skills.
  • Basic knowledge of dealership operations and/or office/clerical experience.
