Position: Contracts Administrator

Location: Delray Beach, FL

Overview:
We are a leading construction company in Delray Beach, FL, seeking a skilled Mid-Level Contracts Administrator to contribute to our teams success.

Responsibilities:

  1. Document Management: Organize and maintain project documentation, including contracts, permits, drawings, and correspondence.
  2. Administrative Coordination: Schedule meetings, maintain calendars, and organize project files. Manage installation schedules and order job materials.
  3. Procurement Oversight: Obtain bids, process invoices, and track material deliveries to ensure project progress.
  4. Stakeholder Communication: Maintain effective communication with clients, contractors, subcontractors, and suppliers to foster collaboration.
  5. Project Material Preparation: Create and distribute reports, presentations, and documentation to keep stakeholders informed.
  6. Support for Project Managers: Provide administrative support to project managers and supervisors to ensure project efficiency.
  7. Communication Facilitation: Ensure smooth information flow between project team members and resolve communication barriers.
  8. Record Keeping: Maintain accurate records of change orders, Requests for Information (RFIs), and submittals.
  9. Project Activity Coordination: Schedule and coordinate meetings, site visits, and project-related activities.
  10. Project Closeout Assistance: Coordinate project closeout activities, including documentation compilation and final inspections.

Requirements:

  • Bachelors degree in a relevant field or equivalent experience.
  • Proven experience in project coordination or administration within the construction industry.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite and project management software.
