Sr. Administrative Assistant

at our corporate office located in

Dallas, TX.

This role is fast paced, assisting with various crucial aspects of supply chain management, fleet administration, and supporting the Vice President of Supply Chain.

The ideal candidate will be comfortable working on multiple priorities and with some level of ambiguity.

Essential Job Duties:

Provides high-level administrative support to the Vice President of Supply Chain.

Supports a large Supply Chain organization by assisting with various aspects of supply chain management.

Upload and maintain contracts using Ariba Contract Management platform.

Review and route contract transmittals through DocuSign.

Create requisitions in SAP.

Maintain department organizational charts and interface with Human Resources.

Update and maintain departmental Share Point site.

Review and approve business card orders ensuring they meet Oxy guidelines.

Serve as Fleet Administrator for OxyChem’s Fleet Management program:

o

Day-to-day oversight and administration of the company vehicle fleet program and third-party fleet database.

Ensuring compliance with company vehicle policies and procedures.

Responsible for creating vehicle templates and placing orders.

o

Manage and maintain accurate fleet inventory including annual vehicle audit.

Support the Manager of Purchasing and Compliance with annual vehicle forecasts, training, and other duties as assigned.

Maintain knowledge of Supply Chain policies, procedures, systems, and practices.

Work collaboratively with other functional departments, maintaining relationships with senior leadership, and keeping abreast of the company’s strategic direction.

Schedule and organize department activities, meetings, travel, and department functions.

Other special projects and duties as assigned by the Vice President of Supply Chain.

*Qualifications*

High School Diploma or G.E.D. required.

7-10 years relevant experience preferred.

Exceptional decision-making, organizational, planning, and problem-solving skills.

Excellent oral and written communication skills.

Proven ability to handle sensitive and confidential information and situations while consistently demonstrating tact and diplomacy.

Able to work in a fast-paced environment, managing

multiple tasks simultaneously and one’s own time.

Self-starter with independent judgment to plan, prioritize and organize.

Highly effective team player with a positive attitude and strong interpersonal skills. Ability to step-in without being asked.

Ability to work a flexible schedule, including overtime, when required.

Demonstrated high level of proficiency with Microsoft applications (Outlook, Word, PowerPoint, Excel).

Associate degree in supply chain, business or related field.

Experience supporting a large, high-volume department.

Experience with fleet programs and/or fleet administration.
