Job Description: Under the direction of the Chief Marketing & Client Development Officer, the Marketing Coordinator’s primary role is client event planning (in-person events, webinars, and hybrid events). The Marketing Coordinator may also assist with website content; collateral content, advertising, social media, branded gift sourcing and inventory management, other related marketing initiatives, as needed. This position may support some Diversity, Equity & Inclusion Committee events and projects. This position works in collaboration with the Marketing & Client Development Team, firm attorneys, practice group chairs, staff, and vendors on events, programming, sponsorships, and client entertainment opportunities to ensure exceptional delivery of service in support of the firm’s business development and marketing initiatives and goals. The Marketing Coordinator interacts across the firm’s practice areas and offices and directly with clients. Professionalism, attention to detail, excellent communication, a sense of ownership for the role, the ability to multitask, creative problem-solving, and a “can do” attitude are imperative. This position is located in Calfee’s Cleveland office and the nature of the role requires the Marketing Coordinator to work at the firm’s office except for approved exceptions.

Responsibilities:

Coordinate logistics and planning of the firm’s programs and events (including events held at Calfee’s offices and events held at external venues; occasional travel to Calfee’s offices/markets may be necessary)

Source, recommend, and coordinate with offsite event venues and other vendors and suppliers for in-person, virtual (Zoom), and hybrid events.

Provide administrative oversight of event vendors including, budgets, invoicing, and payment.

Coordinate continuing legal education (CLE) credit applications and submissions (in conjunction with the firm’s outsourced CLE credit administration firm).

Identify, own, and resolve event issues.

Update and monitor event schedules and budgets, working and communicating with Calfee’s Office Services and IT personnel, outside vendors, and internal event stakeholders and decision makers.

Effectively and appropriately use social media to communicate Calfee’s events to the firm’s followers.

Assist with the coordination of the firm’s charitable sponsorship advertising calendar and deliverables using template advertising layouts.

Coordinate and maintain inventory of the firm’s branded items and client gifts.

Qualifications:

Bachelor’s degree in marketing, communications, or a related field (or commensurate, relevant experience).

Two to five years of related experience (prior law firm or professional services marketing/event coordination experience is strongly preferred).

Proficient in MS Word, Excel, PowerPoint, and Outlook; Adobe Suite and web content tools experience are preferred.

Professional experience using social media to promote events and marketing activities, i.e., LinkedIn, Facebook, Instagram, etc.

Very strong written and verbal communication skills.

Exceptional interpersonal skills with a strong commitment to providing quality service.

Adaptable, flexible, and innovative problem-solving skills.

Strong attention to detail and exceptional organizational skills.

Ability to manage multiple tasks simultaneously to meet required deadlines.

Ability to work well under pressure.

Ability to interact with all levels of staff, firm management, and firm clients.

Team-oriented.
