Location: Irvine, CA

Position Type: Full-Time, In-Office

LHH is seeking a Sr. Administrative Assistant for our client's Accounting team to support the department's administrative needs, directly reporting to the Director of Accounting & Controller.

Key Responsibilities:

  • Manage administrative tasks such as team calendar coordination, meeting scheduling, phone support, and correspondence management.
  • Assist in preparing budget reviews, variance analyses, and invoice reviews.
  • Support project management by creating and updating workflows, preparing documentation, and tracking progress to meet team objectives.
  • Prepare meeting materials, including PowerPoint presentations for executive meetings.
  • Coordinate special events for the department, such as lunches and team outings.
  • Manage department expenses and receipts using Concur.
  • Help organize and prioritize workloads to meet deadlines.

Qualifications:

  • 2-5 years of administrative experience, ideally within an Accounting or Finance department.
  • Experience with budget reviews, variance analyses, and invoice reviews is highly preferred.
  • High School diploma or equivalent required.
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills, with a professional demeanor.
  • Basic knowledge of finance and accounting is preferred but not required.
  • Detail-oriented with a proven track record of providing exceptional customer service and problem-solving.
  • Ability to manage multiple projects while maintaining organization and efficiency.
  • Self-motivated and able to work independently while contributing to a team environment.
  • Flexible and adaptable to changing business needs.
  • Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word); familiarity with Asana, Slack, and Microsoft Teams is a plus.
  • Strong ethical standards, with the ability to handle confidential information professionally.
