JOB TITLE: Volunteer Coordinator

REPORTS TO: NERA Director, (NERA Board Chair in absence of Director)

FLSA STATUS: Non-Exempt, 12-month position

SUMMARY

The Volunteer Coordinator is essential in ensuring a positive, welcoming environment for clients, guests, and volunteers at NERA. This employee will schedule, train, and direct volunteers to accomplish vital daily tasks. This position requires excellent communication skills and a passion for serving the community. Creative methods of showing appreciation to volunteers are encouraged.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Operations:

  • Ensure that clients and guests are provided excellent customer service and a warm environment.
  • Train, onboard, and supervise volunteers while developing leaders - providing clear guidance on their roles and responsibilities.
  • Coordinate volunteer schedules, ensuring adequate coverage for all areas of operation.
  • Help stock grocery shelves, ensuring an organized and appealing display of food items.
  • Manage the food distribution on the grocery floor, ensuring efficient operations throughout grocery service hours by utilizing clear signage & labels.
  • Support facility cleanliness and maintenance, working collaboratively with others to create a welcoming and orderly environment.
  • Occasional work outside of standard business hours required for large volunteer groups
Administration:
  • Track and record volunteer service times, maintaining accurate records for reporting purposes.
  • Answer emails and phone calls promptly and professionally, providing accurate information and assistance.
  • Proficiency in Google Workspace and Microsoft Office, utilizing these tools for efficient communication and documentation.
Community Outreach:
  • Conduct tours of the facility, highlighting NERA's services and impact.
  • Possess a strong comprehension of NERA's services and available community resources, effectively communicating these to clients and volunteers.
  • Demonstrate an outgoing, cheerful personality, and strong public speaking skills to engage and inspire others.
  • Communicate with volunteers regularly to ensure engagement and to invest in their lives
  • Prepare and conduct volunteer appreciation events that facilitate human connection
  • Plan and participate in volunteer recruitment methods to support growth in each department

As appropriate, the Volunteer Coordinator will also perform other duties as assigned by the Director.

QUALIFICATIONS

Position requires strong interpersonal and communication skills to effectively engage with clients, guests, and volunteers. Must have a passion for helping others and be able to create a welcoming environment. Excellent computer, reading and writing skills are needed - including fluency Google Workspace and Microsoft Office applications. Position requires organizational skills with the ability to manage multiple tasks simultaneously. Experience preferred in a small business environment, but not required.

CERTIFICATES, LICENSES, REGISTRATIONS

Valid driver's license required. Forklift training provided.

PHYSICAL DEMANDS

Physical demands include only those reasonable in a normal retail store, office and warehouse environment with the ability to lift up to 50 lbs.

PERSONAL CHARACTERISTICS AND PROFESSIONAL REQUIREMENTS

Self-confident, outgoing and comfortable public speaking.

Fluency in Spanish or Marshallese is not required, but considered a valuable asset.

Maintain a positive and self-confident attitude, contributing to a harmonious work environment.

Ability to maintain confidentiality.

A deep appreciation for, and an ability to articulate, the mission of NERA.

NERA's mission is to prevent food scarcity in North Central Oklahoma by providing nutritional and community resources.
