POSITION SUMMARY The Organ Allocation Coordinator Lead (OAC Lead) is responsible for monitoring DNWest’s organ allocation operations, allocation quality efforts and assisting with identifying potential areas of risk. The OAC Lead participates with all allocation tasks while collaborating with the Manager of Organ Operations center to assist with the implementation of internal quality measures, process improvement and to provide technical allocation training and support to allocation personnel as needed. This individual must have an advanced degree of knowledge related to United Network of Organization Sharing (UNOS) regulations, donor evaluation and management, authorization, and organ allocation for transplant and research/education. The OAC Lead is the principle source of information during the allocation and procurement process; they manage direct communication between multiple teams of medical professionals, outside organ procurement organizations (OPOs), and the UNOS Organ Center. The OAC Lead collaborates with the Chief Medical Officer (CMO) and Clinical Operations Manager teams (COM), yet work independently to prevent the loss of transplantable organs and minimize potential patient safety risk. The OAC Lead works autonomously and takes independent, decisive action in urgent situations to minimize adverse events that may negatively impact the supply of organs or the safety of recipients. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES Clinical Responsibilities Provides technical support to the Organ Allocation workgroup and is responsible for timely allocation of organs and accurate data report to UNOS. Manages the allocation process and ensures all aspects are performed to optimal levels in adherence with regulatory policies and organizational procedures. Serves as the abdominal allocation policy expert for the organ procurement process and provides guidance to all participating parties. Analyzes clinical data and identifies case-specific barriers to organ utilization, develops strategy to minimize risk of organ loss and maximizes opportunities for transplantation. Participates in quality and occurrence review to optimize current process and procedures. Effectively communicates relevant donor information to members of the recipient care team to minimize organ cold ischemia time and ensure improved transplant recipient outcomes. Participates in cross organizational activities to improve organization performance as appropriate. Non Clinical Responsibilities Responsible for staff scheduling including partnering with the COM and Manager of Organ Operations Center to cover sick calls or times of high activity. Partners with the Learning and Development department for staff development and training. Identifies and reports adverse events and identifies process improvement opportunities with an emphasis on improved organ utilization and patient safety. Serves on departmental, hospital, and/or medical staff committees. Completes all Quality Assurance (QA) and documentation records required for organ donation. Participates with data collection and reporting as it relates to improving the allocation process and increasing organ utilization. Maintains current knowledge of organ procurement and allocation protocols and UNOS policy changes by participating in UNOS education offerings, clinical conferences and continuing medical education. Participates in professional organizations in the area of specialization. Develops and presents education regarding organ donation to physicians, nurses, hospital administrators, and other stakeholders in the donation process. Participates in the orientation and training of new allocation coordinators and new transplant center medical staff. Knowledge, Skills and Abilities Participates in the continuous review of training processes and recommends and implements modifications to training program. Identifies opportunity for quality and performance improvement initiatives. Promotes a culture of peer review by actively identifying opportunities (Synergy Case Reviews, education forum, and department meetings) to learn from own mistakes and develop education for the team. Actively participates in continuing education opportunities such as research focused training workshops (abstract writing, and seminars, etc.), clinical didactic, Internal Research Council or committee participation. Assists in the investigation of inquiries by regulatory agency (UNOS, Association of Organ Procurement Organizations [AOPO], etc.). Represents the organization on national industry levels (AOPO, North American Transplant Coordinators Organization [NATCO], etc.). Contributes to constant policy alignment with national regulations and industry best practices. Other Duties and Responsibilities Must be able to successfully complete all responsibilities for previous levels. Maintains professional relationships and rapport with colleagues, clinical and ancillary staff within and outside the organization. Attends staff meetings, training programs, and or in-services deemed necessary. Ensures compliance with current federal, state, and/or local laws and regulations including Centers for Medicaid and Medicare Services (CMS), and UNOS. Meets AOPO standards, and DNWest’s policies and procedures (P&P). Cultivates and grows external stakeholder relationships and engagement by supporting DNWest’s brand, ensuring responsive service delivery and enhancing our reputation as a trusted partner. QUALIFICATIONS Possess highly developed interpersonal skills and respectful communication ability with all staff and colleagues. Strong interpersonal and diplomacy skills required, to include active listening and supportive recognition and respect for differing viewpoints. Must possess or develop detailed knowledge of applicable regulations and standards including but not limited to those established by the Center of Medicare and Medicaid Services (CMS), U.S. Food and Drug Administration (FDA), UNOS, AOPO, and State of California. Adept at analysis of data, metrics, statistical reports and data presentation. EDUCATION AND EXPERIENCE Required: Bachelor of Arts or Science degree. 3 to 5 years’ experience in a related Organ Donation field may substitute for educational requirement. Organ allocation Experience. Preferred: At least 3 years’ experience within an OPO, preferably within an organ allocation work system. Customer relations experience. Minimum 2 years’ related work experience in related field or healthcare work experience relating to family and/or patient care.
