The Department of University Registrar has an exciting opportunity for a full-time Registration Specialist to work at the Coral Gables campus.

CORE JOB SUMMARY

The Registration/Records Specialist is primarily responsible for processing and verifying accuracy of all academic records and ensuring their integrity. This person must have the ability to effectively communicate with students, families, alumni, staff and faculty in creation, usage and accurate maintenance of all student records. This position handles and resolves issues and notifies the customer of end results. The ability to work with a high degree of accuracy and detail is essential. Superior customer service is required for this role.

CORE JOB FUNCTIONS

Maintain Academic Records:
  • Coordinate with academic departments to ensure that records are up-to-date by processing grade changes, posting memorandums, change of program, advisor update, etc.
  • Communicate with students, alumni, and schools/colleges regarding records requests
  • Collaborate with Assistant Registrar, Records to implement improvement processes in the Records Department
  • Process change of grades daily
  • Process all undergraduate change of programs
  • Process course descriptions requests
  • Manage weekly batch diploma ordering inclusive of complete process, emails and calls
  • Process individual diploma requests daily
  • Process Graduate School transfer work
  • Process Graduate School Admission to Candidacy Memos
  • Process Alumni verification requests
  • Process Course Repeat updates
  • Process Social Security Updates
  • Verify grade type and GPA meet requirements for graduation and term honors
  • Have a complete understanding of the degree awarding process as to be able to answer questions from students, parents, faculty, and staff
  • Process Academic Bankruptcy Requests
  • Process National Student Clearinghouse Verification Request daily
  • Process Study Abroad posting memorandums
Handle special projects:
  • Troubleshoot records problems when supervisor is out
  • Back up for Transcript maintenance and corrections
  • Back up for Sr. Program Coordinator, Records
  • Provide Clerical Support to Veterans Affairs Certifying Officers

CORE QUALIFICATIONS

Education:

High School Diploma or equivalent required

Experience:

Minimum 3 years of work experience required. A combination of relevant education and experience may be considered.

Knowledge, Skills and Attitudes:

  • Excellent customer service skills, customer facing and interest in working with people throughout the day
  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
