Job Title: Event Assistant

Job Summary:

We are seeking a proactive and detail-oriented Event Assistant to join our dynamic team. The Event Assistant will play a crucial role in supporting the planning and execution of various events, ensuring smooth operations and exceptional attendee experiences. This position offers an exciting opportunity to collaborate with a talented team in the coordination of diverse events.

Responsibilities:

  1. Assist in the planning and organization of events from conception to execution, including but not limited to conferences, seminars, workshops, and social gatherings.
  2. Communicate with vendors, suppliers, and internal stakeholders to negotiate contracts, secure services, and ensure timely delivery of goods and services.
  3. Assist with event marketing and promotional efforts, including creating promotional materials, managing social media channels, and liaising with media partners.
  4. Support registration processes, manage attendee databases, and respond to inquiries from participants.
  5. Assist with on-site event management, including setup, breakdown, registration desk operation, and coordination of volunteers and staff.
  6. Contribute creative ideas to enhance the quality and impact of events, ensuring they align with organizational objectives and meet stakeholder expectations.

Qualifications:

  • Exceptional organizational skills and the ability to manage multiple tasks simultaneously under tight deadlines.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent, or similar).
  • Creative problem-solving skills and a proactive approach to addressing challenges.
  • Flexibility to work evenings, weekends, and travel as required.
