As an Events Assistant at XTalk Prep, you will work closely with our Events Coordinator to support the planning and execution of various corporate events, including seminars, conferences, workshops, and networking events. You will assist in all aspects of event coordination, from venue selection and vendor management to guest communication and on-site logistics.
Key Responsibilities
Duties and Responsibilities:

  • Assist in researching and selecting event venues, vendors, and suppliers.
  • Coordinate event logistics, including catering, audiovisual equipment, signage, and transportation.
  • Assist in creating event timelines, schedules, and run sheets.
  • Provide on-site support during events, including setup, registration, and attendee assistance.
  • Assist with post-event activities, such as gathering feedback and evaluating event success.
  • Maintain event databases, contact lists, and inventory of event materials.
  • Collaborate with marketing and communications teams to promote events and maximize attendance.

Skills, Knowledge and Expertise
Required Skills & Abilities:

  • Bachelor's degree in Hospitality Management, Event Planning, Marketing, or related field preferred.
  • Previous experience in event planning, coordination, or hospitality is a plus.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
  • Proficiency in Microsoft Office Suite and event management software.
  • Flexibility to work occasional evenings and weekends as required for event support.
