Overview:

POSITION SUMMARY:

Under the direction of and reporting to the Manager, Proposal Strategy & Operations, the Proposal Coordinator will support the preparation, management, development, and delivery of all ForHealth Consulting business proposalsfrom kickoff to submissionensuring an on-time and high-quality response. Proposals may include, but are not limited to, Request to Proposal (RFP) responses, grant applications, and others. This is a remote position with occasional onsite presence required.

Responsibilities:

ESSENTIAL FUNCTIONS:

  • Support Proposal Development:
    • Assist the Manager, Proposal Strategy & Operations in all aspects of the proposal process.
    • Create calendars, project plans, and templates.
    • Compile and submit questions during the Q&A period.
    • Monitor procurement websites for updates.
    • Track and collect required administrative forms.
    • Provide support for the production and delivery of proposals.
    • Maintain proposal files and documents.
  • Schedule and facilitate various meetings.
    • Develop agendas and document meeting outcomes.
  • Ensure proper maintenance of proposal files and associated documents on the proposal team collaboration site and manage access for all team members.
  • Have responsibility for all administrative tasks (e.g., forms, signatures, printing, etc.).
  • Help facilitate proposal reviews and document all required sign-offs.
  • Maintain database of proposal content (past proposals, boilerplate language, project qualifications, bios and resumes, etc.), and ensure all relevant database information is stored, organized, updated regularly, and searchable for future proposals.
  • Manage proposal status in Salesforce, ensuring timely and accurate upkeep of entries.
  • Format proposals in a polished and professional manner, ensuring responsiveness to client requirements or requests and reflective brand guidelines when applicable.
  • Assist in the copyediting of proposal text for proper grammar, spelling, comprehension, style, and adherence to brand guidelines.
  • Support the final publishing of the proposal and delivery to the client, as required.
  • Initiate FOIA/public records requests. Potentially, contact clients where proposals were rejected and ask for feedback, debriefings, and scoring sheets.
  • Perform closeout activities, ensuring lessons learned and debriefing process is initiated.
  • Contribute to the overall department activities.
  • Have responsibility across multiple, concurrent projects.
  • Perform other duties as required.


Qualifications:

REQUIRED EDUCATION & WORK EXPERIENCE:

  • Bachelor's Level Degree or equivalent with 0-2 years of experience in project and/or proposal management.
  • Proven and demonstrable record of attention to detail and follow-through on assigned tasks.
  • Ability to work on multiple projects for multiple teams simultaneously.
  • Excellent time management skills, including prioritizing, scheduling, and adapting as necessary.
  • Exceptional verbal, organizational, and project management skills.
  • Strong interpersonal skills and ability to communicate with individuals at multiple level, from peers to executive leadership.
  • Ability to work independently as well as in a team environment.
  • High level of self-motivation and accountability.
  • Ability to thrive in a fast-paced, remote environment with rapid turnaround times and short-term deadlines.
  • Strict adherence to editorial and style guides and standards.
  • Capacity to quickly learn and leverage various software programs and new technologies.
  • Expert in Microsoft Office products (Word, Excel, PowerPoint, Lists).
  • Experience in health care and/or human services consulting or professional services consulting
