Job Description The Human Resources Administrator will provide operational expertise in all aspects of human resources operations including onboarding/offboarding, compliance and vendor management, HRIS, in addition to benefits and leave of absence administration. The Human Resources Administrator is responsible for ensuring the back office elements of HR processes are accurate and in compliance with internal policy and external regulatory requirements, defines and implements opportunities to improve effectiveness and efficiencies and customer service through process redesign, leveraging technology, and external vendors and other resources. The Human Resources Administrator will partner with the Managing Director to manage, integrate, and execute all HR projects, programs, and initiatives to ensure coherence and application of best practices. Additional responsibilities for the Human Resources Administrator include the following:

Responsibilities Include:

  • Act as an objective 3rd party in employee problem-solving or conflict situations and communicate to the Executive Director any circumstances that may raise legal issues for our organization.
  • Maintaining and updating job descriptions in collaboration with departmental directors and supervisors.
  • Act as the organization's head recruiter, administrator, and point of contact for all HR related postings, including prescreening qualified candidates and filling all open staff positions.
  • Ensure all staff complete onboarding and exit paperwork, including policies, background checks, and all other agency onboarding/exit processes.
  • Maintain the agencys organizational chart, phone extensions and contact information.
  • Maintain and track all personnel records.
  • Assist with agency policies and ensure these are updated in our handbook and other documentation.
  • Proactively inform supervisors of any processes related to HR compliance matters.
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; review policies and practices to maintain compliance.
  • Oversee workplace investigations, disciplinary actions, and termination procedures.
  • Conduct regular audits of insurance records, I-9 records, vacation, and sick allowances.
  • Manage employment files and other records in a detailed manner on paper and within our HR computer system.
  • Comply with and enforce employee standards of conduct as set forth in the employee manual.
  • Administer and train employees on behalf of Human Resources including but not limited to Employee On-Boarding, benefits, core, and organizational culture standards.
  • Respond to any related employee claims against the organization including Workers Compensation, Unemployment and Wage & Hour.
  • Coordinating and updating HR files to ensuring completeness and accuracy.
  • Coordinates any HR related renewals, subscriptions, invoices, and requested payments with Finance Team.

Position Requirements

  • 5+ years of previous HR administrative experience.
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • Professional, reliable, flexible and have a positive, can-do attitude.
  • Excellent attention to detail with strong customer service skills and ability to prioritize
  • Ability to communicate well in both written and verbal communication forms.
  • Proactive attitude and volunteers willingly to take on additional responsibilities and assist with other team members projects.
  • Commercial real estate experience or a strong interest a real plus

Education

  • Bachelors degree preferred or similar work experience
