Savills is looking for a Client Serivces Associate based out of Miami to utilize administrative, marketing, communication and technical skills to provide support for the assigned Brokerage Team, assisting the team in achieving team/individual business goals and objectives. Assist with required client communication, including occasionally contacting clients through electronic means, written correspondence or on the telephone.

KEY DUTIES AND RESPONSIBILTIES

  • Responsible for client interaction, as needed by brokers.
  • Help provide administrative and graphics support in producing client prospect pitches and presentations.
  • Update complex stacking plans
  • Coordinate on/offsite meetings including scheduling appointments, keeping calendars, and arranging travel itineraries and meeting room reservations.
  • Perform accounting functions which may include preparation of expense reports, invoices, and billings.
  • Knowledge and understanding of the commercial real estate business and terminology; including basic knowledge of leases, commission agreement, Request for Proposals (RFPs)/Request for Information (RFIs) and Letters of Intent (LOIs).
  • Maintain Savills brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages.
  • Utilize LinkedIn, and other sales management and/or marketing tools to assist brokers in tracking information.
  • Update and maintain various information databases.
  • Manage marketing email communications to clients and prospects.
  • Work in cooperation with other Associates/Coordinators on large projects, during downtime, or as assigned by the Office Administrator or Branch Manager.

QUALIFICATIONS

  • Effectively communicate and interact with brokers, staff, vendors, and clients.
  • Proficient in Microsoft office and Adobe platforms.
  • Assist the team daily with Microsoft Office Suite, InDesign, and PowerPoint deliverables, including but not limited to pitch books and RFPs
  • Review documents for grammar and structure
  • Accurately prepare marketing flyers, building maps and reports, tour books, presentation materials, often under tight time constraints.
  • Consistently demonstrate a high level of performance and professionalism.
  • Ability to multi-task and meet deadlines in a high-pressure environment.
  • Excellent command of the English language, both verbal and written.
  • Maintain discretion and exhibit sound decision making skills.
  • Exhibit a high level of attention to detail.
  • Self-starter and strong time management skills.
  • Strong work ethic and positive attitude.
  • Ability to adapt to company specific software.
  • Ability to work with a diverse group of internal and external customers at all levels of an organization, to develop strong intercompany relationships cultivating collaboration across all business lines.
  • Ability to adopt to changing environments and demands based on unique client and team needs.
  • Independent judgment and strong time management skills.
  • Demonstrates leadership skills, including ability to train new hires and Client Service Coordinators.

PREFERRED EDUCATION AND EXPERIENCE

  • At least 4 years of work experience in a real estate position.
  • Strong Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint
  • Adobe Creative Cloud (InDesign, Illustrator and Photoshop) experience preferred Excellent organizational and time management skills; ability to multi-task, prioritize workload and meet deadlines in a fast-paced, dynamic environment
  • Any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
