As a BMC Assistant Portfolio Manager , you are responsible for the overall support for the Residential Leasing Center's administrative needs. The Residential Leasing Center covers the leasing activity for multiple properties within BMC's DC portfolio. There will be required travel to nearby properties, as needed. Primary Responsibilities Lease Administration Meet with prospective residents and present available apartments that best fit their desires and budget. Review, process and approve or deny applications. Review prepared leases and move-in packages to ensure that all necessary paperwork is properly executed prior to signing. Perform bookkeeping duties as required. Proactively manage the lease renewal process. Manage parking spaces and prepare parking leases. Keep a daily accounting of leasing traffic. Schedule company-authorized contractors and vendors to prepare vacant apartments for move-in and monitor all work in progress. Perform cost analysis and comparison when required. Ensure vendors' performance is effective, efficient, and safe. Resident Relations Respond to residents' concerns in a timely, professional, and respectful manner. Prepare resident move-out form and submit to manager on resident move-out date. Address noise complaints from residents in writing. Prepare and send resident correspondence using RentCafé. Building Inspection Inspect apartments to ensure they are move-in ready two days prior to move in. Perform pre- and post- move-out inspections. Inspect all properties upon request by residents and management. General Administration Help cultivate a high level of professionalism, customer service, attention to detail and pride of work in all staff. Assist in the development of a high-quality on-site team through implementation of effective training and guidance. Assist the Portfolio Leasing Manager in addressing resident and vendor concerns. Assist in implementation of all policies and procedures as authorized in the Company policy and procedures manuals. Ensure compliance as necessary. Assist with ensuring that all physical aspects of the property are fully functional, safe, and attractive. Attend periodic training seminars to improve property management techniques. Enjoy frequent opportunities to earn performance-based bonus incentives throughout the year. Be available to work a varied schedule, including weekends and some holidays as required. Greet visitors in a friendly and professional manner and handle their inquiries or direct them to the appropriate persons/destinations. Answer incoming phone calls, respond to voice messages and emails in a courteous manner, take messages and/or transfer calls. Respond to phone leads that are sent to us via Outlook email from Rent Dynamics. Post apartment listings on Craigslist and RapidSoft. Maintain scheduling of tours and ensure that the information is clearly communicated to prospects and leasing staff. Gather competitor information via phone calls, internet research and occasionally competitor tours. Prepare market surveys reports. Assist leasing team with follow up calls and emails to prospective residents. Complete application paperwork as needed. Track leasing tours in the calendar and follow-up with a calendar invite to leasing associates. Making sure that occupied tour notices have been sent out. Actively look for ways to help others, and assist staff with various projects as needed. Excellent attendance is required to perform the essential functions of this position. Develop and maintain positive relationships with prospects, leasing team, and senior managers. Other ad hoc duties as assigned by supervisor. Knowledge, Skills, and Abilities Proficient in Microsoft Office, specifically Outlook and Word. Detail-oriented. Strong time management and organizational skills. Required Education and Experience High school diploma or equivalent. Minimum of 1-2 years prior leasing experience.
