The Front Office Coordinator position at Pinnacle will allow you to engage with the patient throughout their journey while working closely with a multidisciplinary team to provide excellent patient care. We are seeking a Front Office Coordinator to join our dedicated team at Advanced Fertility Care in Glendale, AZ. This is a full-time position, 40 hours per week, benefits eligible, working Monday - Friday 7:00 AM to 4:00 PM. RESPONSIBILITIES Welcomes all incoming and exiting guests in a friendly and professional manner. Completes all patient documentation with complete accuracy as defined by the Front Office Manual. Maintains lobby/front desk cleanliness and organization, including keeping water, coffee supplies, etc., full for patient use. Responsible for managing incoming phone calls regarding scheduling, initial billing questions and other inquiries in a professional and courteous manner. Scans documents and uploads into patient charts. Utilizes the eCW software to schedule appointments for patients by matching physician availability with patient’s preferences in terms of location, date and time. Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with Front Office Coordinator about any system and/or scheduling problems. Prepares patient charts in advance (i.e. next day prep sheet and associated preparation tasks) each day. Is knowledgeable and completely trained in aspects of infertility diagnostic testing and treatment, as related to scheduling guidelines and financial policies, as outlined in the Front Office Manual. Calculates patient out-of-pocket for each visit. Collects and posts patient payments and reconciles charges on a daily basis. Prepares insurance submission forms for out-of-network lab services for patients paying self-pay rates due to AARL being out of network. Provides information to patients regarding unpaid balances as recorded by billing staff. Understanding of contracted insurance plans (by facility) and how participating/non-participating plans impact fees (i.e. UHC vs BCBS for AARL). POSITION REQUIREMENTS Requires a high school diploma or state-approved equivalent and some college is preferred 1-year minimum of medical office or healthcare facility experience is required Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Sign language and/or ability to speak other languages a plus. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. To perform this job successfully, an individual should have basic typing skills and computer knowledge (Windows/Office 2003). eClinicalWorks EMR experience is a plus. Self-directed and able to work independently and as part of a team. COMPENSATION & BENEFITS $19.00 - $21.00 hourly The compensation range for this position is between $19.00 and $21.00 per hour. Final compensation offers will be determined based on factors such as years of experience, skills, and qualifications.
