The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the Human Resources department.

Position Responsibilities:

  • Uses customer service skills to assist employees, supervisor, managers, directors and applicants with routine questions relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to human resources manager. Handles all human resources calls; messages or forward as necessary.
  • Maintains the integrity and confidentiality of all human resources records and the employees and organization.
  • Performs administrative and recordkeeping tasks related to staffing changes, which may include layoffs, resignations, terminations, and extended leaves of absence.
  • Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-4 filings, payroll audits, and other compliance reviews.
  • Uses good judgment to keep the human resources manager informed of issues or concerns to ensure compliance with human resources practices.
  • Performs periodic audits of HR files and records in the HRIS system to ensure that all required documents are collected and filed appropriately, data is accurate and current in all areas of human resources; perform data entry into the HRIS system as needed and maintains accurate and up-to-date human resource files, records, and documentation (i.e., uploads, downloads, creating new documents/forms in HRIS system)
  • Assists with HRIS to create workflows, forms, HR Actions, and HR process to implement new processes to move towards a paper free department; Manage the HRIS Tickets for resolution; Provide support and training to users on HRIS systems and processes.
  • Provides clerical support to the HR department to include job descriptions, policies & procedures, memos, emails, investigations.
  • Responsible for the evaluation process for employee record and manager 360 survey results.
  • Responsible for incoming and outgoing mail to include detailed spread sheet to include but not limited to: all outgoing mail; documents sent back to leaders, check requests, flowers, badge numbers, pagers
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Responsible for employee badges creation and replacement.
  • Handles Service Awards and employee recognition processes; Conducts or assists with new hire orientation
  • Responsible for ordering of the departments office supplies.
  • Disaster and emergency preparedness updates to include Ready-Op system.
  • Manages employee pagers to include tracking, replacing and ordering of pagers.
  • Assist with Workers' Compensation process: entry of details, physician documentation into WC System; complete injury investigation, wages required for the injury process.
  • Must cross-train to support recruitment and on-boarding process.
  • Other duties as assigned.
Requirements

Required Skills/Abilities:
  • Excellent verbal and written communication skills.
  • Positive interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
  • Must be tactful, diplomatic and possess the ability to communicate with individuals of all levels of the organization.
  • Must be able to maintain the confidentiality of employee information and pertinent organization data at all times.
  • Ability to work independently with minimal supervision.
Required Education/Experience:
  • High school diploma or GED, additional education preferred.
  • Minimum of two (2) years' work experience as an assistant or in a human resources department preferred.
  • Must be able to type at an adequate speed to obtain accurate job performance.
