Purpose

To coordinate HR efforts for the College of Fine Arts with the Director of HR. This role is responsible for combination of transactional HR processes and intermediate recruitment and employee relations responsibilities. Ultimately: support the dean's office and reporting units with efforts that help elevate the employee experience.

Responsibilities
  • Employee Lifecycle: Onboarding and Offboarding: Oversee the onboarding and offboarding experience for College of Fine Arts Dean's Office staff. This includes, but is not limited to, onboarding communications with new hires and transfers, computer requests, listservs, directory updates, systems access (e.g., DPUSER and DocuSign), and employee orientation. Coordinate with managers to establish an onboarding plan, including sending calendar reminders for New in Position or Probationary Period reviews. I-9 Specialist for new hires. Conduct exit interviews, as needed, and run the appropriate timesheet reports to walk employees through necessary steps to receive paid leave payments. Build and maintain rapport with supervisors and direct-report staff within the Dean's Office.

  • Job Search Facilitation: In coordination with HR Director, facilitate job searches for College of Fine Arts Dean's Office managers. This includes utilizing excellent customer service and diplomacy, working with managers to train and facilitate (as needed) on best practices throughout the recruitment experience. Complete recruitment stage transactions, including timely candidate communication, disposition coding, and recruitment notes and justifications, and other HR best practices.

  • Student Employment Specialist: College HR contact for HR Representatives in the reporting units that handle student employment, sporadic employment and other hourly employment. Final approver for Teaching Assistants, Academic Assistants, and Academic Instructors, which entails keeping up-to-date knowledge associated with academic graduate employee assignments. Liaison to Principal HR Consultant for Student Employment and other central office contacts.

  • Dean's Office Hourly Employment: Point of contact for hourly supervisors within the College of Fine Arts Dean's Office. Manage hourly employee "lifecycle" (on-boarding, termination, and off-boarding). Initiate hiring transactions for hourly employees, including Background Check Authorizations and I-9 transactions. Track bi-monthly payroll deadlines and send reminders to managers for timesheet approvals. Track progress of all (JM) assignments within the Dean's Office. Build and maintain relationships with student employee managers within the Dean's Office, regularly relaying HR information and training. Collaborate with central campus career office for resources.

  • Timekeeping and Leave Management: Final timesheet approver for hourly staff and salaried staff in the Dean's Office. Assist staff with understanding proper timekeeping practices, manages access to electronic timesheets, and work with staff and supervisors. Liaison with central Records office for timesheet troubleshooting. Send timesheet approval reminders to supervisors during hourly payroll deadlines. Process On-Demand payments, as needed. Track and maintain employee leaves (e.g., Family Medical Leave) and assist employees with timesheets associated with leave. Review timesheets for Dean's Office staff to ensure compliance with university policy.

  • General Workday Transactions: Create Workday Business Processes, as needed, for College of Fine Arts salaried employees. This includes Compensation Changes (e.g., Temporary Additional Duties), Job Changes (Reclassifications and Terminations), and creating new supervisory organizations ("sup orgs").

  • HR Rep Training and Support: Responsible for initial training and support for new HR positions across the college, as needed. As assigned by HR Director, set up a limited-scope training for new COFA HR employees. This includes meeting with new HR employees and creating a training plan (resources and links) that follow best practices and policies for the College and University. Work with department HR Rep and COFA HR director to hand off training for a fixed-term ending. Provide follow up training and reporting if there are accountability concerns for the employee's progression.

  • Employee Experience Events: With the HR Director, plan and execute events to enhance the employee experience. This includes, but is not limited to, appreciation events, orientations and trainings.

  • Employee Relations Contact: In coordination with Director of HR, act as point of contact for employees to answer questions and concerns that come up throughout the employee experience. Following best HR practices, known UT policies, and appropriate routing channels, provide appropriate resources and information and keep open dialogue with HR Director about issues as needed.

Required Qualifications
  • Bachelor's degree and two years of full-time experience in a human resource-related functions.

  • Proficient in Microsoft Word, Excel and applications in the Microsoft Office suite.

  • Experience working with confidential information and providing support to customers using discretion.

Preferred Qualifications
  • Bachelor's degree in human resource management and/or SHRM-CP or PHR certification.

  • Experience working within a business office team.

  • Knowledge of human resources laws, regulations, and best practices.

  • Experience with financial mathematics.

  • Experience with human resources in a university environment or similarly matrixed organization.

  • Experience with Workday and comfort learning new technologies.

  • Staffing or recruitment experience.

Salary Range

$54,000+, depending on qualifications

Work Shift

Standard: Monday - Friday, 8am - 5pm
