Ideal Mechanical is hiring a HVAC Service Dispatcher to manage and schedule HVAC service work for our residential, commercial, and industrial customers. The HVAC Service Dispatcher will report to the HVAC service operations manager. This position will require the candidate to dispatch/coordinate incoming emergency service work with the field service technicians while maintaining coverage for previously scheduled service work and jobs daily. Work with customers to address their needs and concerns in a timely fashion. Assist filed technicians with processes and workflows. Conduct business in accordance with PPC and Pieper Electric, Inc. mission and vision statements.
* Responsibilities:
* Will serve as the initial point of contact for our customers and technicians
* Answer incoming calls and assist clients with scheduling
* Create work orders with accurate descriptions and data entry
* Assign service work to the field service technicians
* Know the service technician's skill sets and assign the appropriate technician based on the complexity of the service request.
* Manage daily scheduled work and keep the dispatch scheduling board updated so that the technicians don't have any downtime in between service calls and jobs.
* Track parts that are on back order and schedule return visits once the parts have been expedited
* Stay-in constant communication with our field service technicians for statues on service work and jobs
* Close-out work orders/projects when completed
* Work with the service coordinator to schedule preventive maintenance contract agreements.
* Manage the technicians on-call/after hours emergency service schedules
* Track quote requests and assign quote requests to the appropriate project manager
* Maintain the field technicians PTO schedule
* Help train new technicians with our software management system.
* Manage and maintain workflow processes with the HVAC service team.
* Ability to multitask
* Other duties as assigned
Qualifications:
* Minimum of 3 to 5 years' experience in HVAC industry as a service coordinator or equivalent.
* Knowledge of dispatching workflows with a team of field mechanics
* Individuals must be self-motivated, able to work independently, meet deadlines, work on multiple tasks simultaneously, and fulfill all job requirements in a timely fashion.
* Positive Safety Attitude / High Personal Integrity - both are non-negotiable.
* Must be highly customer-service oriented; ability to create new and maintain current customer satisfaction.
* Must have good oral and written communication skills.
* Proficient in use of Microsoft Outlook, Word, Excel as well as general software and office technology
