POSITION: Human Resources Coordinator

REPORTS TO: Human Resources Manager

FLSA STATUS: Non-Exempt

RATE OF PAY: $31.50 - $37.50 per hour depending on experience

ASM Global, the Moscone Center, has an excellent and immediate opening for a Human Resources Coordinator position. The HR Coordinator provides comprehensive support and coordination of the day-to-day operations of Human Resources. They will ensure the efficient delivery of HR services, recruitment processes, the accuracy of employee data records, and the effective application of policies, procedures, and practices of the Human Resources department. This position entails working with several union and non-union employees and is based on site at the Moscone Convention Center in downtown San Francisco, California. This position would be ideal for an individual who takes initiative and is resourceful.

ESSENTIAL DUTIES AND RESPONSIBILITIES

+ Administers Human Resources policies, programs, and practices. Ensures compliance with federal, state and city local labor laws.

+ Assists with all aspects of the recruiting process including: job postings, screening applicants, coordinating and conducting interviews, pre-employment tests (including background and reference checks), new hire paperwork (W-4, I-9, direct deposit, and other forms) and new hire orientation.

+ Assists employees with the online benefits platform (PlanSource) and answers any questions related to medical, dental, vision, AD&D, LTD, STD policies, and 401k enrollment.

+ Inputs new hire and benefit information into Workday, ADP, and ABI platforms.

+ Oversees and processes changes in pay, status, time off requests, or employer benefit contributions for union and non-union hourly employees in a timely manner and according to union contract terms.

+ Processes and monitors Unemployment claims (EDD) and responds to claims filed by City, State, and Federal Agencies such as EEOC and Wage and Hour.

+ Processes and completes research on all employment related inquiries such as job verifications or loan applications.

+ Keeps labor postings up to date as required, and helps adhere to all city, state and federal requirements.

+ Investigates and processes all accident claims including working with Workers Compensation carrier on payments and lost wages.

+ Maintains confidential documentation including personnel, medical, and disciplinary files.

+ Plans and coordinates employee communications, team building events, annual company employee service awards and volunteer event programs.

+ Processes and maintains union benefits and accruals, Vacation, PTO, Sick, Health and Welfare and pension to the Union trust on a monthly basis. Ensures accuracy of all data for union labor accruals.

+ Reconciles SF healthy report on a quarterly basis for all employees.

+ Assists union employees with 401k enrollment and leave of absence process.

+ Ensures adherence to Union Contract language and regulations.

+ Assists HR Manager with all employee complaints and grievances. Assists with related investigations and interviews as needed.

+ Assists with provision of information required for labor negotiations and all union grievances.

+ Maintains and monitors Seniority lists and Seniority employee files for all union employees.

+ Builds good relationships with Directors and Managers at all levels to assist with conflict resolution documentation and delivery of corrective actions.

+ Prepares all necessary termination paperwork and employee final pay.

+ Attends monthly safety meetings.

+ Collects and responds to mail, and orders office supplies through purchasing.

+ Work with security to help print employee badges for all new hires and outside vendors following the badging process.

+ Assists with training and informing employees of all corporate policy and procedures changes, as well as communicating all ASM work rules to all employees.

+ Responds to various queries from managers, team members, and outside stakeholders.

+ Completes other projects or tasks as assigned by HR Manager.

QUALIFICATIONS

+ A minimum education level of: BA/BS Degree

+ Must have 2-3 years of HR experience and/or training or equivalent combination of education and experience

+ Proficient in MS Word, Excel, PowerPoint and Outlook. V or X look up preferred

+ Must have excellent computer skills and the ability to learn various platforms such as Workday, ADP and ABI

+ Excellent verbal, written, listening, and interpersonal skills

+ Demonstrated ability to forge strong, trusting relationships with employees

+ Excellent customer service skills working with diverse backgrounds

+ Energetic team player with ability to adapt as workload requires

+ Creative and detail oriented, organized, and capable of meeting established deadlines

+ Independent thinking and problem-solving capabilities

+ Ability to work autonomously with minimal supervision

+ A self-starter who takes initiative and is resourceful

+ Knowledge of federal, state, and local employee laws and regulations

+ Ability to work a flexible schedule including weekends and holidays. Prior notice will be provided ahead of time

+ Must maintain a high standard of professional conduct, work ethic, and the highest level of confidentiality in all aspects of Human Resources.

+ Spanish or Mandarin language skills are highly desirable

HOURS OF WORK

+ Hours are based on a 40-hour work week.

+ Currently this role is 100% onsite.

PHYSICAL DEMANDS

+ Daily sitting, focusing on and operating a personal computer or terminal keyboard to enter data for over 60 minutes at a time. The position also requires grasping, repetitive hand movement and fine coordination when using the computer keyboard.

+ Communicate by telephone for up to 30 minutes at a time on a daily basis. Acute hearing is required when providing phone and personal service.

+ Daily standing for up to 15 minutes at a time operating office equipment such as printer, or photocopier.

+ Frequent walking around the convention center.
