The Front Desk Receptionist has full responsibility for the following functions:
  • Maintain front desk by greeting guests and answering phones in a professional manner.
  • Maintain general appearance of showroom and prep for each business day.
  • Create and distribute a daily absentee log.
  • Stamp all outgoing mail and distribute incoming mail.
  • Coordinate and prepare outgoing shipments.
  • Log showroom samples in and out.
  • Create and distribute monthly company newsletter.
Office Management responsibilities, including but not limited to:
  • Travel
  • Coordinate travel for associates as required including rental car, flights, etc.
  • Office Supplies / Office Orders
  • Facilitate all aspects of office supply order needs such as, but not limited to, IT orders, Costco, Amazon, etc.
  • Vendor Management
  • Liaise with office copier and toner suppliers as required to facilitate timely and smooth operations of office facilities.
The Front Desk Receptionist has supporting and secondary responsibility of (but not limited to) the following functions:
  • Back-Up Sales Support
  • Assist with updating Builder Profile reports for weekly homesite review.
  • Attend weekly homesite review.
  • Attend monthly sales meeting.
  • Assist with monitoring of Tile Approval screen, HBI screen and Cutoff Report.
  • Buyer Info Sheets - Entry of Buyer Info Sheets, scheduling appointments as needed.
  • Request sequence sheets from NHC when needed.
Tile Approvals
  • Check in Tile Approvals when received.
  • Coordinate and ensure tile approvals for the day are received, correct, have been picked up, and or scheduled.
  • Complete tile approvals with homebuyers, request support from Design Consultant team when needed.
  • Update Lake Forest's Installation Dept. with scheduling, buyer waivers, and with no show T/A appointments.
  • Update the system and attach accompanying paperwork
  • Weekly review of Tile Approval report to ensure all Tile Approvals are dispatched in a timely manner.
  • Any other tasks or projects as needed and assigned by President, Vice Presidents, Design Team, Controller, and Human Resources.
SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
