About Immunize Wisconsin In a world where vaccines prove to be a cornerstone for robust public health, ensuring their widespread acceptance and administration is paramount. Despite the proven efficacy and safety of vaccinations, Wisconsin faces a palpable gap, especially within communities of color. The COVID-19 pandemic has starkly highlighted this deficiency, underscoring the critical need for enhanced collaboration, education, and multichannel communication in advancing immunization efforts. Addressing these challenges is not just a necessity but a commitment to fostering a fair, thriving, and healthy community across Wisconsin.

In light of this, the Wisconsin Chapter of the American Academy of Pediatrics (WIAAP) established Immunize WI in 2022. Supported by a generous grant from the Wisconsin Department of Health Services, this dynamic coalition is a beacon of hope, dedicated to elevating immunization rates throughout the state. It embodies the spirit of unity, harnessing the power of diverse organizations and individuals aligned in the quest for improved vaccination and public health.

Our mission is to foster a healthier and more equitable Wisconsin. We are dedicated to supporting and uplifting vaccination efforts, prioritizing the needs of our most vulnerable, and empowering communities across the state with knowledge and resources to ensure improved vaccine uptake of all vaccines across the lifespan of Wisconsinites. We are steadfast in our objective to foster unparalleled collaboration and promote evidence-based practices in the field of immunization. Serving as a statewide communication and networking hub, we seamlessly connect various stakeholders, amplifying the collective impact on vaccination and public health. This synergy enables the fruitful exchange of ideas, knowledge, and resources, reinforcing immunization initiatives across Wisconsin's expanse.

Job Overview As the Grants and Operations Manager at Immunize WI, you will wear multiple hats to ensure the seamless integration and execution of operational, budgetary, and grant-related tasks. You will be at the forefront of managing and optimizing all operational processes within the coalition, ensuring that every function, from daily operations to special projects, runs efficiently and in alignment with our goals. Your oversight will extend to fiscal management, where you will handle budgetary responsibilities to guarantee the judicious allocation and utilization of financial resources, maintaining the coalition's financial health.

Responsibilities: Budget Management (25%): Oversee the budget development and monitoring for grant-funded programs. Ensure the appropriate allocation and utilization of funds in line with grant guidelines. Provide regular financial reports and updates to internal and external stakeholders. Operations Oversight (25%): Ensure the smooth day-to-day operations of the grant program. Work closely with various departments to ensure operational efficiency and effectiveness. Collaborate with stakeholders to ensure the successful implementation of administrative, budget, and team processes. Prepare and submit meticulously crafted grant proposals and applications. Event Planning Assistance (20%): Assist in the comprehensive planning and execution of organizational events. Collaborate with the event planning team to ensure successful, well-organized, and impactful events. Provide operational support for event-related tasks, ensuring efficient use of resources and achievement of event objectives. Grant Compliance and Reporting (10%): Uphold compliance with all grant requirements, focusing on reporting and budget management. Continually stay informed about grant regulations, policies, and procedures to ensure unyielding adherence. Monitoring and Evaluation (10%): Develop and enforce monitoring and evaluation frameworks to appraise the impact and efficiency of grantee activities. Relationship Management (5%): Cultivate and sustain robust relationships with grantees, stakeholders, and partners. Collaborate with coalition members and stakeholders to develop and achieve program goals and objectives. Technical Support and Assistance (5%): Offer unwavering technical support and assistance to grantees for the successful rollout of grant-funded projects. Provide guidance on best practices, reporting necessities, and compliance to grantees.

Requirements: Bachelor's degree required. Minimum of 3 years of experience in a nonprofit setting working with grants and/or budgets. Excellent written and verbal communication skills, including the ability to write clear and concise grant proposals and reports. Strong project management skills, including the ability to manage multiple projects simultaneously, meet deadlines, and work independently. Proven ability to build and maintain strong relationships with external stakeholders Proficiency in Microsoft Office; experience with grant management software is a plus.

Compensation and Duration: This is an independent contract position with a rate of $35 per hour. We expect the Grants and Operations Manager to work 25 hours per week, although this may be increased based on the needs of the successful candidate. Assuming a 25 hour workweek, the contractor will be paid a flat fee of $3,791.67 per month. The Grants and Operations Manager is responsible for submitting monthly invoices and timesheets. This position is a temporary post through June 2024. The position may be extended further depending on success of the program and availability of funds. As an independent contractor, this role is not eligible for benefits such as healthcare coverage or retirement contributions.
